BASIC FUNCTION:
The Clinical Business Operations Supervisor provides day-to-day operational coordination for an assigned clinical area supporting multiple services, including Emergency Services, the Advanced Education in General Dentistry (AEGD) Program, and specialty dental care.
The Supervisor serves as an advanced patient care, clinical operations, and revenue-cycle resource for staff, students, residents, faculty, and patients. Working within established College policies and under the direction of the Revenue Director and clinical leadership, the position supports clinic operations, patient access and flow, treatment planning, financial counseling, scheduling, billing readiness, revenue integrity, compliance, and service standards.
The position promotes timely, patient-centered care and efficient clinical operations while supporting the educational mission of the College of Dentistry.
SUPERVISORY ACCOUNTABILITY:
The Clinical Business Operations Supervisor coordinates daily administrative and patient-care operations within the assigned clinical area. The position provides day-to-day work direction to assigned staff, communicates operational priorities, coordinates workflow and coverage, monitors completion of assigned responsibilities, reinforces established procedures, and assists with staff training and onboarding.
The Supervisor identifies and assists in resolving routine operational, patient service, documentation, and billing concerns. Matters requiring formal personnel action or decisions outside established authority are escalated to the Revenue Director or appropriate clinical leadership.
The position does not independently hire, discipline, approve leave, conduct formal performance evaluations, or make other formal personnel decisions.
NATURE AND SCOPE:
The position works across clinical, academic, administrative, and financial functions and routinely interacts with administrators, faculty, residents, students, patients, clinical and administrative staff, third-party payers, vendors, and other internal and external stakeholders.
The work requires sound judgment, strong organizational and problem-solving skills, knowledge of dental practice operations and revenue-cycle processes, careful handling of confidential information, and the ability to coordinate competing priorities in a high-volume academic clinical environment.
Matters outside established authority are referred to the Revenue Director, appropriate Program Director, clinical leadership, or other University leadership.
PRINCIPAL
ACCOUNTABILITIES:
- Coordinates daily administrative and patient-service operations to support efficient clinic flow, timely patient care, and effective use of available clinical capacity.
- Provides day-to-day work direction to assigned patient services and administrative staff, communicates priorities, coordinates workflow and coverage, reinforces established procedures, and assists with training and onboarding.
- Monitors patient registration, scheduling, check-in/check-out, follow-up, and other patient access activities to promote efficient movement through the continuum of care.
- Reviews clinic schedules and works with clinical teams to address scheduling gaps, patient access issues, cancellations, and other operational barriers.
- Supports the administrative and financial components of treatment planning, including treatment estimates, insurance requirements, authorizations, patient financial responsibility, and coordination of complex treatment plans.
- Provides financial counseling to patients regarding anticipated treatment costs, insurance benefits, payment expectations, and established payment processes.
- Serves as an advanced resource for staff regarding insurance verification, authorizations, patient accounts, billing readiness, charge capture, claims-related issues, and other revenue-cycle processes.
- Reviews clinical and administrative documentation for completeness and billing readiness and works with faculty, residents, students, and staff to facilitate timely resolution of deficiencies.
- Supports accurate and timely charge capture and assists with identifying issues that may delay billing, reimbursement, or collection of patient balances.
- Monitors patient follow-up and treatment coordination activities to help reduce delays in care and support treatment completion and continuity of care.
- Serves as an escalation resource for complex patient service, scheduling, billing, and financial concerns and facilitates appropriate service recovery.
- Uses the College's electronic health record and practice-management systems to support patient registration, scheduling, treatment planning, documentation, billing, reporting, and follow-up.
- Supports compliance with College and University policies, payer requirements, patient privacy standards, and established clinical administrative procedures.
- Assists with operational audits, chart reviews, billing reviews, and other quality and revenue-integrity activities as assigned.
- Monitors key operational indicators and communicates trends, unresolved issues, and opportunities for improvement to the Revenue Director and clinical leadership.
- Participates in clinic huddles, staff meetings, process-improvement activities, and implementation of new operational procedures and initiatives.

WORKING CONDITIONS
Work is primarily performed in a clinical and administrative environment within the College of Dentistry. The position requires regular interaction with patients and clinical personnel and movement between clinical and administrative areas.
The position generally follows established clinic operating hours but may occasionally require adjusted hours to support operational needs.

MINIMUM REQUIREMENTS:
Education:
Bachelor's degree in healthcare administration, business administration, health services, dental practice management, or a related field preferred. Relevant progressively responsible experience may be considered in combination with education in accordance with University requirements.
Experience:
Minimum of three (3) years of progressively responsible experience in dental practice operations, healthcare administration, patient services, revenue cycle, or a related clinical environment.
