Description
The snapshot
Staffstream is recruiting a Part-Time Bookkeeper & Admin Assistant for an established Australian early learning provider with a team of 50 to 55 staff. You’d take payroll and the day-to-day bookkeeping off the owner’s plate, so they can step out of the finance admin for good. The role is 20 hours a week, fully remote, and open to Philippines-based candidates.
Payroll is the priority: a fortnightly pay run every second Thursday, done accurately and on time. Around it sits the bookkeeping that keeps the business running, including invoices, supplier payments, BAS preparation and super. Once you’ve settled in, there’s room to take on admin work like enrolments and SOPs, and to grow your hours as trust builds.
What you will actually do
Payroll (the priority)
- Run the fortnightly payroll for 50 to 55 staff every second Thursday in Employment Hero, applying the correct pay rates, leave, allowances and deductions under the relevant Modern Award.
- Keep payroll records current: employee profiles, pay rates, leave balances and changes to employment conditions.
- Calculate and process super payments on time, and keep STP (Single Touch Payroll) reporting up to date.
Day-to-day bookkeeping in QuickBooks
- Enter invoices and receipts into QuickBooks, coded correctly, and keep the books reconciled and up to date.
- Manage accounts payable and supplier payments, including preparing the weekly ABA payment file (the file the bank uses for bulk payments). You prepare and check it, and the authorised person uploads it to the bank.
- Manage accounts receivable: raise invoices (including for the owner’s separate rental business), follow up overdue accounts politely, and keep debtor and creditor records reconciled each week.
BAS and compliance
- Prepare BAS information (GST and PAYG withholding) in QuickBooks, ready for review by the owner or external accountant ahead of each lodgement deadline.
Admin and growth (as you settle in)
- Support enrolment admin, such as collating family documents and preparing records for submissions.
- Write simple step-by-step SOPs for the pay run and the weekly payment run, so the process doesn’t live in one person’s head.
- Handle routine finance queries from suppliers and staff, and pass anything unusual to the owner with context.
What you need to bring
- Hands-on experience running payroll for a team of 30 or more people in Australia, with responsibility for accuracy and on-time pay.
- A solid understanding of Australian payroll compliance: Modern Award rates, PAYG withholding, super and STP. The work follows Australian rules, so overseas-only payroll experience isn’t enough.
- Hands-on QuickBooks experience: invoices, receipts, accounts payable and receivable, and bank reconciliation.
- Experience preparing BAS information and super payments for an Australian business.
- Strong attention to detail and the discipline to hit a fixed fortnightly deadline without chasing.
- Clear written and spoken English, with the warmth to follow up overdue accounts without damaging relationships.
Nice to have
- Employment Hero proficiency (strongly preferred). The business runs payroll in it, so the more confident you are, the smoother your first pay run.
- Background in early childhood education, childcare or another award-based, regulated workforce.
- Experience preparing ABA payment files for bank upload.
- Experience following up family or community debtors with care.
- A bookkeeping qualification (ICB, CPA or CA), or progress towards one.
- Experience writing SOPs.
The setup
- This role is open to Philippines-based candidates, working fully remote, 20 hours a week. Working hours and Australian overlap (including the Thursday pay run)
- You’ll use your own laptop (no equipment is provided), with reliable internet and a backup plan for power or internet outages, especially on pay-run Thursdays.
