Job Purpose / Summary

The Volunteer Coordinator ensures a safe, organized, and engaging volunteer experience at Three Square Food Bank. This role facilitates daily warehouse operations by guiding volunteers, setting up workspaces, and ensuring that products are received and organized efficiently. Responsibilities include maintaining inventory control, assisting with volunteer training, and creating a positive, productive environment. Success in this role requires strong communication, organizational skills, and a commitment to volunteer engagement and operational excellence.


Essential Job Functions

The following duties are considered essential functions of this position. Other duties may be assigned as needed.

  • Supervise, guide, and assist volunteers on-site and off-site with their daily tasks, ensuring they have the resources and information needed to perform effectively, including safety procedures, warehouse operations, and program-specific requirements.
  • Assign tasks to volunteers based on skill level and priorities, ensuring accuracy and efficiency.
  • Ensure the warehouse remains clean, organized, and safe, following a regular cleaning schedule and creating a productive workspace for volunteers.
  • Foster a positive and inclusive volunteer experience by providing ongoing support, feedback, and recognition.
  • Maintain clear, timely communication with volunteers and report volunteer activities and any issues directly to the Volunteer Manager.
  • Evaluate and determine the amount of product needed to accommodate large volunteer groups.
  • Take responsibility for ongoing quality control of the product.
  • Ensure incoming salvage loads are properly received and stored, and that all discarded product is securely and properly disposed of.
  • Ensure compliance with all applicable health laws and regulations.
  • Safely operate, load, and unload Three Square refrigerated vehicles, including box trucks with hydraulic liftgates, using electric pallet jacks and other material handling equipment.
  • Assist with inventory checks, restocking, and organization to maintain accuracy and a smooth workflow within the warehouse.
  • Work collaboratively with other departments to support overall operations and address needs or challenges.

Requirements

Education & Experience Requirements

  • Clear and professional verbal and written communication.
  • Social perceptiveness, with strong collaboration and interpersonal skills and the ability to resolve conflict and solve problems.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple projects and deadlines while maintaining accuracy, handle interruptions while remaining focused, and adjust to changing priorities.
  • Customer service knowledge, including assessing needs and ensuring satisfaction.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and volunteer management software.

Skills & Abilities

  • High school diploma or GED.
  • At least one year of experience working with volunteers.
  • Valid state driver’s license (must be maintained throughout employment) and reliable transportation.
  • Willingness to obtain forklift and pallet jack certification.
  • Experience overseeing groups of people in an operational setting.
  • Ability to work evenings and weekends as needed.
  • Excellent verbal and written communication skills, including the ability to communicate clearly and persuasively in various situations.
  • Demonstrate professionalism and compassion towards volunteers, peers, and neighbors in the community impacted by hunger. 

Physical Requirements

The physical requirements listed are representative of those needed to successfully perform the essential duties of this position.   • Ability to stand, walk, and reach continually throughout the shift, including extended periods of walking on concrete surfaces.
  • Ability to use hands and fingers to handle, grasp, and manipulate objects continually.
  • Ability to bend, stoop, kneel, crouch, and twist frequently.
  • Ability to climb or balance occasionally, including on ladders and step stools.
  • Must be able to lift, carry, pick up, and move objects up to 50 pounds.
  • Must be able to push and pull pallets weighing over 2,000 pounds using manual pallet jacks.
  • Ability to talk, hear, and smell continually, including the ability to detect spoiled or damaged product.
  • Close vision is required to read labels, documents, and inventory screens; distance vision is required to safely navigate the warehouse and operate equipment.
  • Distance vision and depth perception are required to operate motorized equipment or drive an automobile.

Work Environment

  • Work is primarily performed in a warehouse, but will periodically require outdoor work and exposure to the elements.
  • The work environment is indoors and climate-controlled, though temperatures may fluctuate significantly with seasonal conditions, becoming very hot or very cold. 
  • Entrances may be open; work conditions can be very hot during the summer months and very cold during the winter months.
  • May frequently enter and exit freezers and coolers, with exposure to extreme temperature variations.
  • Moderate noise levels are found in business offices with computer printers, households with TVs and kitchen appliances, and while driving in light traffic. 
  • Occasional elevated noise levels due to motorized vehicle traffic operating within the building.
  • The workspace may be very dusty.
  • May be exposed to spoiled food and sharp objects when handling damaged product.
