About The Role

The Reservations Coordinator is responsible for ensuring the timely and accurate processing of reservations, cancellations, and last-minute changes while maintaining data integrity across internal systems. This role supports effective communication with suppliers, internal teams, and customers to uphold service standards and operational efficiency. The Coordinator also provides administrative support, contributes to training initiatives, and plays a key role in maintaining supplier compliance and resolving booking-related issues.


Note, this is a 12 month Fixed Term Contract that will be working on a hybrid basis with 3 days in the Marrakech office.


Key Duties & Responsibilities

  • Complete all reservations, cancellations, last-minute changes, and related tasks with accuracy and timeliness.
  • Validate reservation data and ensure internal systems and tools (e.g., Block Sheets, Validations) are up-to-date and accurate; report discrepancies to the relevant manager.
  • Maintain accurate and up-to-date records of all reservations activities in internal systems to support audits, reporting, and operational tracking.
  • Coordinate with the Product or Operations team to ensure that tour changes and updates are accurately reflected in reservations.
  • Communicate and coordinate with suppliers to ensure they understand and adhere to required reservation processes and standards.
  • Assist in monitoring supplier performance, including response times and service accuracy, and escalate persistent issues to the Reservations Manager.
  • Support managers in negotiating reduced cancellation fees with suppliers when necessary.
  • Communicate effectively with the Global Sales and Base Camp Operations teams, offering timely administrative and operational support.
  • Respond to enquiries via phone and email in a professional, prompt, and courteous manner.
  • Ensure email communications are followed up within 24 hours and manage delegated inbox responsibilities.
  • Support Global Sales by efficiently processing last-minute booking requests and change notifications, ensuring all relevant stakeholders are informed.
  • Participate in team meetings and training sessions to stay current with departmental protocols, tools, and updates.
  • Provide administrative assistance to Finance by supporting invoice-related queries and follow-up tasks.
  • Assist on special projects as assigned by the manager or leadership team.
  • Support internal process improvements by identifying inefficiencies or recurring issues and offering feedback for optimization.
  • Help ensure that the G Adventures and partner brands are properly represented in all reservation communications and touchpoints.
  • Contribute to travel style training and operational readiness initiatives within the region.

Skills & Experience

  • Highly proficient in English, both written and spoken.
  • Familiarity with standard travel industry practices and procedures
  • Minimum of 1 year of experience in the travel or tourism industry.
  • Proficient in using Google Workspace tools (e.g., Gmail, Sheets, Docs, Calendar).
  • Solid computer literacy and ability to adapt to reservation platforms and internal systems.
  • Demonstrated time management skills with the ability to meet deadlines in a high-paced environment.
  • Strong attention to detail with a commitment to accuracy and quality.
  • Excellent verbal and written communication skills, including professional email and phone etiquette.
  • Proven ability to deliver high-quality customer service with empathy and professionalism.
  • Effective problem-solving and conflict resolution skills with sound judgment.
  • Team player with a cooperative, flexible approach and a willingness to support colleagues.
