Working closely with lawyers, billing teams, Client Services, and the client’s account payable contacts, the eBilling Coordinator ensures invoices move smoothly through each stage of the eBilling cycle and comply with client guidelines. By proactively troubleshooting rejections and discrepancies, the role directly supports timely collection of funds and a consistent, client-focused billing experience.
Key Responsibilities:
Invoice Preparation, Submission & Quality Control
• Prepare, review, and submit electronic invoices across client platforms, ensuring accuracy and compliance with Outside Counsel Guidelines, budgets and Purchase Orders to ensure timely payment and optimize the revenue cycle.
Invoice Monitoring, Issue Resolution & Accounts Receivable Support
• Monitor invoices throughout the eBilling lifecycle, troubleshoot and reconcile rejections, manage appeals with lawyers and practice teams, and follow up on stalled invoices to ensure timely payment and Accounts Receivable management in collaboration with the Client Services Team.
eBilling Setup & Compliance
• Establish and maintain eBilling operational standards by setting up new eBilling clients and matters, ensuring adherence to client-specific guidelines, rate structures, and billing requirements in collaboration with CMS Service and Legal Ops Team.
Rate Management & Submissions
• Coordinate the determination, upload, and submission of timekeeper rates, including annual rate increases by collaborating with Lawyers, Pricing, Legal Ops, CMS Service, and client-side accounts payable teams, while monitoring deadlines and resolving outstanding rate-related issues.
Collaboration, Escalation & Continuous Improvement
• Partner with internal Matter Life Cycle teams, Practice Assistants, Legal Ops, Pricing, Billing, and Client Services to resolve eBilling challenges; escalate recurring or complex issues to the eBilling Team Lead and identify opportunities to improve efficiency, knowledge, and processes.
Key Competencies:
- Post Secondary Degree/Diploma in business or finance
- A minimum of one year of experience in ebilling, preferrably in a professional services environment
- Working knowledge of client eBilling platforms (e.g., Collaborati, Legal Tracker, CounselLink), including invoice submission, troubleshooting, and adherence to client billing guidelines
- Experience in Elite eHub, including configuration support, workflow management, and generating/leveraging reports to monitor performance and trends
- Strong proficiency in Microsoft 365 (O365) tools (Teams, Outlook, Word, PowerPoint)
- Excel capabilities, including pivot tables, lookups (VLOOKUP/XLOOKUP), formulas, and conditional formatting for reporting and analysis
- Understanding of law firm financial operations, including accounts receivable (AR), invoice lifecycle management, and invoice reconciliation within a professional services environment
- Curiosity and continuous learning mindset, including developing proficiency with Microsoft Copilot and other Artificial Intelligence productivity tools to improve efficiency and reporting
