Description
The Senior Executive / Assistant Manager performs and coordinates key HR operational activities for the faculty population, supporting smooth and timely service delivery. Core responsibilities include administering exit management, faculty hiring and contract renewals, as well as managing updates to concurrent appointments, including those involving University Senior Leaders. The position also supports a range of faculty employment matters, such as preparing letter addenda, processing job changes, handling other appointment-related updates, and providing secretariat support for off-site meetings.
In addition, the Senior Executive / Assistant Manager contributes to continuous improvement initiatives by identifying opportunities to automate manual processes, digitalise workflows, and implement technology-enabled solutions that enhance operational efficiency, consistency, and service quality. The incumbent also supports the review and enhancement of operational processes, Standard Operating Procedures (SOPs), and service controls to ensure consistent service delivery, operational excellence, scalability, and compliance with University policies and governance requirements.
Responsibilities:
Handles the HR administration and advisory support to enable effective HR operations in Faculty matters related to part-time lecturers’ Appointment and Reappointment, Job Changes, Concurrent Appointment and Exit management in alignment with University’s policies and guidelines.
Ensure data accuracy in updates of all entries in HRIS, including but not limited to hire data, one-time payment, assigning costing allocations, and concurrent appointment updates in HRIS completed by team members
Ensure tasks and enquiries undertaken are resolved and completed in a timely manner in accordance with the service level agreements (SLA)
Improve processes and procedures to ensure high standards of service and work quality, efficiency and governance
Drive and/or participate in projects and process reviews
Collaborate and build good working relationships with stakeholders within the University
Requirements
Bachelor Degree in Business Administration, or a related discipline ie. Human Resources
Good knowledge of the Employment Act and Labour laws of Singapore
Comfortable to handle/review a high volume of administrative transactions and multi-tasking.
Strong writing skills are essential
Strong interpersonal and communication skills
Strong organisational and time management skills
Meticulous, resourceful and independent
Proficient in Microsoft Office applications and PowerPDF
Working knowledge of Workday is advantageous
