POSITION PURPOSE:

Performs secretarial duties and provides comprehensive administrative support to the Senior Director of the Office of Professional Learning (OPL). Supports Wake County Public School System (WCPSS) professional learning facilitators, meeting participants, and staff with audiovisual (A/V) needs, and manages OPL’s electronic room reservation process. Coordinates with school-based administrators, Central Services staff, and the general public to ensure effective communication and service delivery. Oversees the arrangement, cleanliness, and navigation of professional learning facilities, and provides information regarding district resources to support successful, high-quality professional learning experiences.

 

MINIMUM QUALIFICATIONS: 

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs);

  • Considerable knowledge of Microsoft Office, specifically Word, Excel, and PowerPoint; Google Apps;
  • Knowledge of practices, procedures, policies, and standard operating procedures in A/V systems and support;
  • Strong organizational skills;
  • Effective time management skills;
  • Ability to effectively function within a team environment;
  • Ability to work independently without close supervision;
  • Ability to perform arithmetical computations accurately and with reasonable speed;
  • Ability to understand, interpret, and apply specific rules and regulations governing the processing of fiscal
  • documents, maintenance of financial records, and the preparation of fiscal reports;
  • Ability to complete complex tasks and minimize errors with attention to detail;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to establish and maintain effective working relationships with administrators, teachers, support staff, parents, and community members.

 

EDUCATION, TRAINING, AND EXPERIENCE

  • Associate’s degree from an accredited college or university;
  • Experience in a secretarial or related field;
  • Experience in managing and maintaining budget and payroll functions;
  • Experience troubleshooting A/V equipment;
  • Successful experience in the customer service field.

An equivalent combination of education and relevant experience is sufficient to successfully perform the essential duties of the job.

 

CERTIFICATION AND LICENSE REQUIREMENTS

  • Must hold and maintain a valid motor vehicle operator’s license according to the State of NC requirements.

 

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university;
  • Experience using Oracle business applications;
  • Knowledge of bookkeeping and accounting procedures;
  • Secretarial experience in a Central Services, school, or academic setting.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs secretarial duties while prioritizing and completing tasks in a timely manner. Provides administrative support to the Senior Director of Professional Learning.
  • Maintains departmental general ledger; creates budget transfers and amendments as needed; creates and processes purchase order and direct pay requests; orders, receives and distributes supplies for department; processes contracts, service agreements, and payments for agreements generated by Office of Professional Learning.
  • Communicates with school system staff and vendors concerning accounts payable items, as required, to
  • effectively clear outstanding financial obligations.
  • Organizes and assists with logistics of various meetings for, and within, the department.
  • Monitors and processes time records for departmental staff including leave requests and reports; processes travel reimbursement requests for departmental staff; processes substitute teacher pay for teachers who attend professional development.
  • Generates effective correspondence, presentations, reports, and other documents as directed.
  • Responsible for the set-up (tables and chairs) and reset of meeting rooms and spaces by ensuring the areas are clean, the requested A/V system is set up, and walls are either pulled or opened.
  • Maintains and troubleshoots technology-related items for trainings (e.g., A/V systems, laptop computers, televisions, etc. in training rooms.
  • Supports WCPSS staff with facility navigation.
  • Inventories manages, and supplies professional learning resources (e.g., laptop cart computers, high-definition multimedia interface (HDMI) cords, laptop cords, mobile wireless sound system, remote clickers, batteries, supply caddies, etc.
  • Coordinates the scheduling of room requests for professional learning for all OPL sites via the electronic room reservation platform; creates daily room assignment visuals.
  • Assists with reviewing and approving external credit requests utilizing the designated professional learning platform.
  • Serves as a liaison with WCPSS custodial services (e.g., temperature, trash disposal, etc.)
  • Performs other related duties, as assigned.

    WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

    This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff and staff members of external funding agencies, and the community. Work is considered light work, requiring the exertion of up to 10 pounds of force. . The work requires driving automotive equipment.
