OVERVIEW
JOB TITLE: Student Visit Experience Coordinator
LOCATION: St. Paul Campus
PAY RATE: $17.00 per hour
HOURS: 10-15 hours per week
START DATE: September 2026
JOB SUMMARY:
The Student Visit Experience Coordinator (SVEC) assists the full-time Manager of Admissions Visit Experience by scheduling visits and welcoming prospective students and their families to campus. This includes speaking on the phone with students and families, scheduling appointments, communicating with other departments on campus, and using various platforms to stay organized in the scheduling process. The SVEC will work in the Admissions Visit Office to schedule appointments for both virtual and on-campus visits as well as staffing the front/reception desk. The admissions office is open Monday-Friday from 7:45 a.m. – 4:30 p.m. and some Saturdays from 8:00 – 11:00 a.m. This position will support department initiatives, including event staffing and application processing procedures.
All student employees of the Admissions Office are trained to give campus tours, and will be expected to give campus tours as needed.
ESSENTIAL FUNCTIONS:
- Communicate clearly with prospective students and families via telephone and e-mail to arrange visits virtually and on campus
- Create and change appointments for prospective students
- Answer questions in-person and via telephone about St. Thomas and refer to appropriate departments or individuals
- Communicate professionally with faculty, staff, athletic coaches, and students to schedule appointments
- Use Salesforce platform to record visit activities and student data
- Use Microsoft Outlook to schedule appointments and read/write e-mail
- Call students the day before the visit to confirm/remind them of the visit
- Assist in running the front office by greeting and checking in guests, answering phones, and sorting daily mail
- Conduct campus tours as necessary
- Availability to work 10-15 hours per week between the hours of 7:45 a.m. – 4:30 p.m. Monday-Friday and 8:00 – 11:00 a.m. on some Saturdays
- Help prepare mailings for the admissions department
- Other duties as assigned

- Represent the University of St. Thomas in a positive and professional manner
- Work independently and with other student coordinators to arrange campus visits in a timely manner
- Maintain knowledge of St. Thomas academics, athletics, activities, and admissions processes
- Be reliable, punctual, and proactive
- The SVEC may be the only contact a prospective student and their family has with St. Thomas before visiting campus
- Absolute professionalism and attention to detail are vital
- Ability to maintain confidentiality
- Ability to work in a professional environment and interact with a wider range of people
- Demonstrate a warm and inviting demeanor in all interactions
QUALIFICATIONS
- Current undergraduate, bachelor degree seeking student at the University of St. Thomas
- Excellent communication, organization, and time management skills
- Ability to work in a fast-paced environment with many interruptions
- Attend and assist during some Admissions Events
- Work effectively and positively with others and independently as needed
- Previous work as a Tommie Ambassador (preferred)
- Experience with applications such as Microsoft Outlook or Salesforce (preferred)
- Employment is contingent upon the successful results of a background check

To be eligible for student employment, St. Thomas students must be degree seeking at the undergraduate, graduate and doctoral levels.
