Role Summary
URBN is looking for a Leave of Absence Specialist who will efficiently handle all cases and claims, and oversee general administration, comprehensive case management, and program compliance for various Leave of Absence (LOA) and Workers' Compensation programs, as well as related employment laws (e.g., Military, FMLA, Medical, Paid Parental).
This role collaborates with HR colleagues to facilitate ADA/interactive processes and provides exceptional customer service and support to associates, executives, and HR partners. The LOA Specialist also maintains personnel records and ensures the collection and compilation of sensitive and confidential statistics, providing information to authorized individuals and agencies as needed.
As a member of URBN's Total Rewards team, this role works collaboratively with Benefits, Compensation, Human Resources, Payroll, and HRIS colleagues to deliver a cohesive rewards experience for all employees.
Role Responsibilities
LOA/FMLA/Paid Parental/Workers' Compensation Case Administration
- Administer Leave of Absence, Paid Parental Leave, FMLA, Workers' Compensation, and other statutory leave entitlements, including processing leave requests, reviewing health care provider certification forms, approving leave, tracking leave, and managing intermittent leave.
- Maintain knowledge of all applicable leave and accommodation laws, including FMLA, ADA, OSHA, HIPAA, and state and local laws; support policy and process updates as needed.
- Partner closely with HR partners on all leave cases and workers' compensation claims, meeting regularly to review claims status and develop strategies for resolution.
- Escalate complex, contested, or high-risk leave and workers' compensation cases to the Benefits Manager.
- Support leave programs across URBN's growing, multi-brand portfolio, adapting processes as the organization scales.
- Assist with ad hoc projects as assigned.
ADA/Interactive Process Facilitation
- Facilitate ADA leave requests and accommodations, collaborating with HR colleagues on the interactive process.
STD/LTD Carrier Claims
- Facilitate the claims process with Short-Term Disability and Long-Term Disability carriers.
Workers' Compensation Data Compilation & Quarterly Reporting
- Maintaining workers' compensation data to support quarterly claims review and reporting.
Recordkeeping
- Maintain complete and accurate records of leave and return-to-work accommodation requests in accordance with specified legal requirements.
- Participate in benchmarking questions and compile relative data as needed.
Employee/Manager Advisement
- Advise managers and employees on the interaction of leave laws with paid time off, and short-term and long-term disability benefits.
- Communicate verbally and in writing with employees, managers, and claims adjusters as necessary to process leave requests and associated paperwork efficiently.
- Provide training and guidance to managers and business partners on leave and accommodation programs, policies, and processes.

- Familiarity with HIPAA and FMLA guidelines.
- Understanding of Workers' Compensation regulations, with a willingness to learn Workers' Compensation carrier software.
Qualifications
- Education and/or 3+ years of experience working in Leave of Absence or HR; experience working in retail preferred.
- Experience with UKG is a plus.
