Derm & Rejuvenation Institute is seeking a motivated and personable Patient Experience & Treatment Coordinator to join our physician-led multispecialty practice.
This is an excellent opportunity for someone who wants to build a meaningful career in healthcare but does not yet have medical experience. We are willing to provide structured training to an exceptional candidate who demonstrates strong communication skills, sound judgment, professionalism, coachability, and a genuine commitment to excellent patient service.
The ideal candidate is upbeat, polished, dependable, detail-oriented, and comfortable discussing treatment costs, scheduling procedures, explaining memberships, following up with patients, and working toward measurable performance goals.
Previous healthcare experience is helpful, but it is not required.

About the Role:
The Patient Experience & Treatment Coordinator serves as an important connection between the physician’s treatment plan and the patient’s next step.
The physician determines which treatments are medically or cosmetically appropriate. Your role is to help the patient understand the practical details of that plan, feel comfortable asking questions, and navigate scheduling, payment, preparation, and follow-up.
You will help patients understand:
- What their treatment journey may involve.
- How appointments and procedures are scheduled.
- What the treatment will cost.
- Which deposits or payments are required.
- Whether an appropriate membership or treatment program is available.
- What preparation and follow-up steps are required.
- What they need to do next.
This is not a clinical role. You will not diagnose conditions, independently recommend treatments, provide medical advice, or promise results.
It is also not a high-pressure sales position. We are looking for someone who understands that ethical sales begins with listening, education, honesty, excellent service, and consistent follow-through.
What You Will Be Trained to Do:
We will provide practice-specific training in:
- Patient communication and relationship-building.
- Medical, surgical, and cosmetic treatment terminology.
- Physician-recommended treatment pathways.
- Treatment quoting and payment collection.
- Membership and treatment-program education.
- Ethical consultative sales.
- Procedure scheduling and coordination.
- Patient follow-up and lead management.
- Preprocedure and post-treatment communication.
- Patient privacy and professional boundaries.
- Scheduling, payment, patient-management, and electronic health record systems.
- Performance tracking and professional development.
As your knowledge and confidence grow, you will assume increasing responsibility for guiding patients through their treatment journey.
Key Responsibilities:
Patient Experience and Education:
- Create a warm, polished, and professional experience for every patient.
- Build trust by listening carefully to each patient’s questions, concerns, and goals.
- Guide patients through treatment plans established by their physicians.
- Explain treatment logistics, preparation, expected downtime, general limitations, costs, and next steps using practice-approved information.
- Reinforce physician recommendations without making independent clinical recommendations.
- Help patients understand what a treatment can and cannot reasonably accomplish.
- Answer nonclinical questions clearly and direct clinical questions to the appropriate physician or clinical team member.
- Respect each patient’s right to make an informed decision without inappropriate pressure.
Treatment Coordination and Scheduling:
- Schedule medical, surgical, injectable, laser, body-contouring, and cosmetic procedures.
- Prepare accurate written treatment quotes.
- Review fees, deposits, payment deadlines, financing options, and financial policies.
- Collect required deposits and payments according to practice protocols.
- Confirm that consents, photographs, medical clearances, payments, and required documentation are completed on time.
- Coordinate with physicians, surgery centers, hospitals, anesthesia providers, and other members of the care team.
- Communicate preprocedure and post-treatment instructions provided by the clinical team.
- Maintain accurate calendars, patient records, quotes, payment information, and follow-up notes.
Patient Follow-Up and Relationship Management:
- Follow up with patients who are considering treatment.
- Help patients identify and resolve nonclinical barriers to scheduling.
- Reconnect with patients who have postponed treatment when appropriate.
- Maintain thoughtful communication with patients who need additional time to make a decision.
- Track consultations, quotes, pending treatment plans, deposits, scheduled procedures, and follow-up activities.
- Ensure that patients and important responsibilities do not fall through the cracks.
- Document all relevant patient communication accurately and promptly.
Membership and Practice Programs:
- Educate appropriate patients about practice memberships and ongoing treatment programs.
- Clearly explain membership benefits, fees, eligibility, limitations, payment terms, and cancellation policies.
- Help patients understand how a membership may support the treatment plan established by their physician.
- Complete enrollment and payment steps accurately.
- Provide ongoing service to members and help them understand their available benefits.
Practice Growth and Performance:
- Work toward clearly defined goals for patient follow-up, treatment scheduling, payment collection, and membership enrollment.
- Participate in structured coaching, training, role-playing, and performance reviews.
- Learn from feedback and demonstrate continued improvement.
- Communicate treatment value honestly and accurately.
- Ask appropriate patients whether they are ready to schedule.
- Help improve systems that make the patient journey more organized and supportive.

Preferred but Not Required:
- Experience in hospitality, luxury retail, wellness, fitness, sales, customer service, or patient coordination.
- Experience working with sales goals, membership programs, lead pipelines, or customer relationship management systems.
- Experience in dermatology, ENT, plastic surgery, cosmetic medicine, or another healthcare setting.
- Familiarity with medical terminology.
- Experience collecting payments or explaining financial policies.
