Job Description
X-energy LLC is hiring an Executive Assistant. The Executive Assistant IV provides high-level administrative and operational support to multiple senior executives, with primary responsibility for supporting the Chief Human Resources Officer (CHRO), Senior Vice President of Growth & Strategy, and Senior Vice President of Government Affairs, as well as more targeted support for two additional senior leaders. This role requires exceptional judgment, discretion, organization, and the ability to independently manage competing priorities across multiple executives and functions. The Executive Assistant IV must understand the priorities of each executive and the broader organization, anticipate needs, appropriately balance competing demands, and ensure that critical commitments move forward. The Executive Assistant IV serves as a trusted partner to the executives they support, actively managing the flow of time, information, meetings, and commitments. The role regularly interacts with senior leaders, employees, Board members, government and industry stakeholders, customers, partners, and other external parties and is expected to represent the executives and organization with professionalism and sound judgment.
Job Profile Tasks/Responsibilities:
- Executive & Calendar Management
- Provide comprehensive executive support to the CHRO, SVP of Growth & Strategy, and SVP of Government Affairs, with targeted administrative support for two additional senior leaders.
- Own and strategically manage complex executive calendars, balancing priorities and competing demands across multiple executives and functions.
- Develop a strong understanding of each executive's priorities to appropriately sequence meetings, commitments, travel, and requests for their time.
- Proactively identify scheduling conflicts and priority issues and independently resolve or escalate them as appropriate.
- Coordinate complex internal and external meetings involving executives, Board members, government and industry stakeholders, customers, partners, and other senior leaders.
- Ensure executives are appropriately prepared for meetings by coordinating agendas, materials, background information, and follow-up items.
- Anticipate changes in priorities and independently adjust schedules and commitments as circumstances evolve.
- Executive Operations
- Serve as a central point of coordination for matters requiring executive attention, helping distinguish urgent issues from those that can be delegated or addressed through other channels.
- Manage competing requests across multiple executives, exercising judgment regarding priority, timing, and escalation.
- Track key commitments, decisions, deadlines, and follow-up actions to support timely execution.
- Anticipate executive needs and proactively address administrative or operational issues before they become barriers.
- Draft, review, and coordinate correspondence, presentations, meeting materials, and other executive communications.
- Handle highly confidential and sensitive business, personnel, government, and strategic information with exceptional discretion.
- Establish and continuously improve administrative processes that increase executive and team effectiveness.
- Meetings, Travel & Events
- Coordinate complex domestic and international travel, including transportation, accommodations, itineraries, and real-time changes.
- Prepare detailed travel and meeting itineraries and anticipate logistical requirements.
- Coordinate leadership meetings, offsites, executive events, government and external engagements, and other high-priority activities.
- Manage meeting logistics and, where appropriate, capture decisions, action items, and follow-up requirements.
- Process expenses and related administrative matters accurately and promptly.
- Stakeholder Management
- Build strong working relationships across Human Resources, Growth & Strategy, Government Affairs, and the broader organization to facilitate coordination and execution.
- Interact professionally with senior executives, Board members, government officials, customers, partners, industry stakeholders, and other external parties.
- Exercise sound judgment in determining how and when matters should be escalated to the appropriate executive.
- Facilitate communication and coordination across functions while maintaining appropriate confidentiality and sensitivity to the distinct responsibilities of each executive.
- Serve as a resource and informal leader to other administrative professionals, sharing practices and supporting coordination across executive offices.
Minimum Qualifications:
- Typically 8+ years of progressively responsible administrative or executive support experience, including significant experience supporting senior executives.
- Demonstrated experience successfully supporting multiple executives with complex and sometimes competing priorities.
- Exceptional organizational skills and attention to detail, with the ability to maintain visibility across multiple calendars, workstreams, and commitments simultaneously.
- Strong judgment and demonstrated ability to independently resolve problems with limited direction.
- Excellent written and verbal communication skills.
- High degree of professionalism, discretion, and experience handling confidential and sensitive information.
- Strong interpersonal skills and the ability to build credibility with stakeholders at all organizational levels.
- Advanced proficiency with Microsoft Office and contemporary collaboration and productivity tools.
- Ability to anticipate needs, identify potential issues, and take appropriate action without waiting for direction.
- Experience supporting executives in a complex, technical, regulated, high-growth, government-facing, or public-company environment preferred.
Level IV Expectations:
- An Executive Assistant IV is distinguished by the complexity, independence, breadth, and judgment required in the role rather than simply the seniority or number of executives supported. At this level, the Executive Assistant:
- Successfully supports multiple senior executives while recognizing that the level and nature of support may differ by executive.
- Independently balances competing priorities and determines how best to allocate time and attention across executive offices.
- Operates with substantial independence and limited day-to-day direction.
- Anticipates needs and acts proactively rather than primarily responding to requests.
- Understands executive and organizational priorities sufficiently to make informed decisions about time, access, sequencing, and escalation.
- Manages significant complexity, ambiguity, and frequently changing priorities without losing attention to detail.
- Handles highly confidential or sensitive matters with exceptional discretion.
- Resolves most administrative and logistical issues independently and knows when escalation is appropriate.
- Develops trusted relationships across senior levels of the organization and with important external stakeholders.
- May coordinate the work of other administrative professionals or provide informal coaching and guidance.
- Identifies and implements better ways of working across the executives and teams supported.

Work Site Expectations: 5 days a week in office
Travel Expectations: Up to 10% as needed
Hours: 8:00am-5:00pm, Mon-Fri
Compensation

Offers within the posted salary range are commensurate with the individual’s qualifications for the position, along with a view on internal equity, market data, and room for growth. The salary range for this position is:
