Role Overview
A Specialist, Asset Management at Athena is a critical role responsible for managing and optimizing the lifecycle of fixed assets, particularly focusing on the management of laptops and related equipment. This position ensures accurate reporting, compliance, and efficient logistical support to enhance employee productivity and satisfaction. You will also be tasked with identifying and implementing process improvements and leading projects for the team designed to enhance operational efficiency. By optimizing these processes, you will contribute to maintaining a high standard of asset management and ensuring the smooth operation of the company's assets lifecycle.
Duties & Responsibilities
Fixed Assets Management
Supervise the reconciliation of stock tallies with units purchased from vendors to maintain precise inventory records and asset logistics management.
Prepare comprehensive month-end reports and coordinate with relevant departments to ensure accurate collaboration and verification.
Provide guidance and training to team members on best practices for asset management and reporting, fostering a culture of accuracy and accountability.
End-to-End Laptop Logistics
Ensure timely deployment of laptops from suppliers and custodians to users.
Manage logistics for laptop retrievals and pickups using services such as LBC, Transportify, and Grab.
Oversee the distribution and proper filing of equipment loan agreements and other related documents.
Address and escalate laptop-related issues and challenges to ensure prompt resolution.
Facilitate effective communication between laptop users and accredited service centers to guarantee efficient and timely repairs.
Ensure all assets are accurately recorded and accounted for in the IT Asset Management (ITAM) system.
Collaborate with cross-functional teams to streamline processes and improve service delivery, ensuring alignment with broader organizational goals.
Coach and mentor the team, promoting a proactive approach to problem-solving and process optimization.
Administrative Responsibilities
Maintain and regularly update relevant reports and trackers.
Handle ad hoc tasks as assigned, ensuring they are completed efficiently.
Provide support and resources to employees, manage departmental resources effectively, and foster engagement with the broader community.
Ensure employees have the necessary tools, resources, and support throughout their employment journey.

Skills
Communication Skills: Excellent verbal and written communication for effective engagement with community members, ensuring clarity in conveying information and fostering strong working relationships.
Technical Skills:
Proficiency in using Asset Panda (ITAM) for managing and tracking asset inventories.
Proficiency with Google Workspace and Mac OS for seamless integration into the company's digital ecosystem.
Advanced proficiency in Excel/Sheets, including complex formulas, pivot tables, and data analysis functions.

Job Requirements
Willing to work fully onsite in our office in Nairobi.
Willing and available to work during the graveyard shift and has the flexibility to work on any day of the week
This role will be responsible for about at least one Analyst with plans to expand the span of control in the future.
Relevant Experience Required
- At least 5 years of experience with the same or similar job function and responsibilities.
Educational and Certification Requirements
- Bachelor’s Degree in Business Administration or other related field.
