SEBMF-East Bay Medical FoundationPosition Overview:
Oversees, organizes and coordinates all centralized scheduling including creating and updating employee schedules, ensuring the accuracy of patient information and addressing any potential conflicts as they arise. Directs, implements and updates policies, procedures and protocols to streamline workflow, improve efficiency, and strengthen quality assurance. Oversees the efficient operation of the department to accomplish goals in a timely manner. Ensures services are provided in a manner consistent with best practices, accreditation standards and State and Federal regulations.Job Description:
CONTACT CENTER SERVICES:
• Assures adequate staffing during all hours of operations to provide appropriate level of service.
• Serves as a resource for Centralized Schedulers, training new employees and addressing any questions or concerns.
• Identifies and escalates issues to leadership, recommending appropriate solutions.
• Schedules, confirms and maintains patient diagnostic appointments, surgeries and medical consultations for a specific department, resolving any issues or conflicts that may arise.
• Coordinates services with patients, clinicians, physicians' offices, and other related departments, verifying room and equipment availability as necessary.
• Communicates with patients and fellow employees in a clear and professional manner to alleviate confusion and expedite processes.
• Ensures that routine and priority tasks are completed within established departmental time frames.
CLERICAL:
• Performs general clerical tasks, such as answering phones and greeting customers and patients on a daily basis.
• Prepares and completes accurate, job related documentation, including collecting, updating, and maintaining patient services schedules.
• Maintain medical records, technical library, or correspondence files.
SAFETY:
• Maintains a clean, neat, and safe working environment, including organizing files and keeping desks free of loose papers and clutter.
COMPLIANCE:
• Performs job responsibilities in compliance with department standards, policies, and procedures, as well as local, state and federal regulatory agencies to deliver the highest level of service.
EDUCATION:
HS Diploma or General Education Diploma (GED)
TYPICAL EXPERIENCE:
4 years of recent relevant experience.
SKILLS AND KNOWLEDGE:
Customer service and phone management skills, organization skills, multi-tasking skills, high level communication/problem-solving skills.
Knowledge of medical terminology including a variety of diagnostic tests, surgeries, consultations and procedures.
Ability to interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form.
Possess written and verbal communications skills to communicate with fellow team members, supervisors, patients, and other hospital personnel.
Time management and organizational skills, including the ability to prioritize assignments and work within standardized operating procedures and scientific methods to achieve objectives and meet deadline.
Broad knowledge of computer applications, such as Microsoft Office Suite (Word, Excel and Outlook).
Prioritize and delegate assignments and work within standardized policies, procedures, and scientific methods to achieve department objectives and meet deadlines.
Work autonomously, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions.
Identify, evaluate and resolve complex that arise with little or no precedent.
Build collaborate relationships with peers and other staff members to achieve departmental and corporate objectives.

Pay Range is $35.20 to $49.27 / hourThe compensation range may vary based on the geographic location where the position is filled. Total compensation considers multiple factors, including, but not limited to a candidate’s experience, education, skills, licensure, certifications, departmental equity, training, and organizational needs.
