Department: Corporate Services
Job Summary: Provides professional customer service support to include facilities, corporate catering, and TRIAD1828. Supports the Facilities Corporate Catering Events Manager with departmental tasks as needed. Upholds the policies and procedures of the department; and supports the company’s infrastructure that reinforces and enhances the brand.
Principal Responsibilities
Concierge Services
- Ability to multi-task, prioritize task/events, work with deadlines while maintaining time management
- Assist with coordinating catering requests for all locations
- Prepares and distributes weekly Meeting/Catering schedule and all related communications
- Review new and/or revised catering request and update weekly schedule as needed including non-catering meetings
- Maintain in-house corporate catering inventories, i.e., stocking/ordering of beverages, snacks and special orders
- Maintain and inventory of special event items, i.e., china, wine glasses, linens, decorative table scape, up lighting etc.
- Ensure all conference rooms are clean and appropriately setup to receive meeting host and attendees
- Assist with coordinating day porters’ daily schedule, i.e., meeting set-up/clean-up process
- Ability to be flexible hours to provide support for special events during and after office hours as needed
- Reconciliation of credit card purchases for catering/facilities
Facilities
- Using Microsoft Visio diagramming software creates and/or revises all location floor plans
- Supports the Facilities Corporate Catering Events Manager with office relocations and employee moves
- Assist with processing CSInsider Facilities ticket requests for building related issues
- Prepares and distributes internal email communications regarding cleaning announcements
- Responsible for contacting IT with upcoming meeting and/or event setup requirements
- Ownership of providing parking for large meetings/events. Creation of guest parking passes/working with building contact to secure parking passes for adjacent parking lots
- Gain a proficient level of knowledge of the Lutron system, allowing for changes and adjustments when necessary
- Maintains corporate event signage
- Responsible for communicating with new hire supervisor/managers for office/workstation assignment, creating/installation of new hire nameplate
Requirements
- Demonstrated professional and courteous demeanor
- Excellent customer service, interpersonal, organizational, verbal and written communication skills
- Proficient in Word, Excel, and Outlook; working knowledge of Visio a plus
- Ability to work well independently as well as in a group setting
- Flexibility with working hours between 7:30 am and 6:00 pm (may be later pending event end time)
- Ability to pick up/stack/relocate 20 pound boxes
Hourly pay for this position ranges from 25.00-$30.00. The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be made on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
Qualifying positions will also be eligible for comprehensive benefits, such as participation in family medical and dental insurance programs, 401K plan, and PTO.
