Department: Member Relations and Awards
Reports to: Vice President, Membership, Impact and Industry
Job Type: Regular – Full Time
Job Classification: Hourly (Non-exempt)
Workplace Location: Beverly Hills – 8949 Wilshire
Compensation: $25.00 - $26.00 per hour

Summary/Objective:
Reporting to the Vice President of Membership, Impact and Industry, the Specialist. Member and Industry Relations will provide administrative and operational support for the Academy’s global membership screenings. The role also supports logistics for Academy events and meetings.

We are seeking an organized, detail-oriented, proactive, and efficient individual who can anticipate needs, collaborate effectively, and exercise discretion.  The Specialist will work closely with departments across the Academy and liaise professionally with industry and community partners. The ideal candidate will have demonstrated proficiency with Airtable or similar data-management tools, excellent communication and interpersonal skills, superior organization and time management skills, and the ability to manage multiple projects simultaneously.

Essential Functions of the Job:
  • Communicate with studios and distributors, including filmmakers on behalf of the Membership, Impact and Industry team regarding global membership screenings.
  • Serve as the primary point of contact for studios and distributors for films scheduled to be screened at the Academy.
  • Compile and maintain weekly film releasing schedules to support programming and planning.
  • Collaborate with the Awards Administration team to ensure accurate and compliant film synopsis and credit listing.
  • Collaborate with multiple Academy departments on weekly membership screenings in Los Angeles, including Theater Operations, Projection and Communications.
  • Coordinate pre-screenings slides and videos for Los Angeles, Bay Area, New York and London screening.
  • Coordinate the non-member screening attendees.
  • Prepare materials and communications for global membership screenings.
  • Provide logistical support, CRM updates, and RSVP management for Los Angeles membership screenings.
  • Create monthly screenings reports for Senior Executives and key stakeholders.
  • Provide logistical support, including Branch Executive Committee meetings, Executive Committee meetings, Task Force meetings, screenings, public events, check-in for events such as the Oscars, Governors Awards, Nominees Luncheon, and New Member Reception.
  • Review, proofread, and edit documents for accuracy, formatting consistency, and clarity. Perform other duties and special projects as assigned by the Vice President.

Required Competencies:
  • High school diploma or equivalent (GED); bachelor’s degree preferred.
  • At least 2 years of professional experience in entertainment industry.
  • Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with relational databases (e.g., CRM, Airtable, or similar).
  • Ability to work with discretion and professionalism with high-level executives, VIPs, Board of Governors, Academy Members, and the public.
  • Ability to handle confidential and sensitive information with discretion.
  • Highly professional verbal and written communication skills with strong attention to detail and accuracy.
  • Strong customer service experience, including answering high-volume phones and managing shared email accounts.
  • Ability to work cooperatively with Academy members, colleagues, cross-departmental teams, and outside companies.
  • Ability to work and meet deadlines under pressure and change tasks as needed.
  • Commitment to diversity, equity, accessibility, and inclusion (DEAI).
  • Ability to read, write, and speak multiple languages preferred.
  • Interest and knowledge in international cinema preferred.
  • Prior experience coordinating film submissions systems preferred.

Physical Demands:
  • Must be available to work nights and weekends.
  • Ability to stand and walk for event support.
  • Ability to travel between Academy buildings and venues as needed.
  • Must have reliable transportation to/from 8949 Wilshire, Los Angeles.
