Description
SUMMARY
The Receptionist will be responsible for the front desk and supporting the administrative needs of the CEO, and other departments as needed. The best candidate will have the background, experience, and customer-centric attitude to accomplish daily tasks while balancing various projects, greeting guests and proactively keeping up with the team needs. We are seeking an energetic individual to serve as the 'first point of contact' and a helpful "go-to" resource for our office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Supports / assists office staff with day-to-day operations, projects and all other duties as assigned.
- Perform clerical work, such as data entry, filing, photocopying, and faxing.
- Direct visitors to the appropriate office or person.
- Assist with communication to employees of service arrivals.
- Receive, sort, and distribute daily mail or deliveries.
- Responsible for office supply inventory.
- Order office supplies - as needed.
- Maintain office security by monitoring visitor access on incoming and outgoing traffic.
- Ensure reception area is tidy and presentable.
- Responsible for receiving incoming packages and providing recipient notification.
- On occasion help order food, for events, business, and executive meetings.

- Performs other clerical duties for all departments as needed, such as filing, photocopying, scanning and attaching images in Sage 300 or other software.
- Assist with AP checks for regular mailing (insert signed checks into envelopes and stamp with postage) prepare documents for checks requiring special mailing (UPS, Certified Mail, Return Receipt, hand-deliveries, etc...) and filing all paid invoices. If necessary, take checks to post office.
- Perform special projects assigned by CEO.
- Maintain accurate and up to date files for CEO, HR and Accounting related functions as needed and assigned.
- Assist and provide support to other administrative support team members on an as needed basis.
- All other duties and responsibilities as assigned.

EDUCATION and EXPERIENCE
- High School Diploma
- Minimum 2-year experience in Reception
- Knowledge of Microsoft Office Applications (Word, Excel and Outlook)
Work Schedule: Monday to Thursday 6am to 4:30am
