This Distribution Operation Executive position plays a key role in supporting distribution operations through efficient processes, accurate execution, and strong coordination across internal teams and business partners, helping ensure smooth operations and a high level of customer service.

MISSION:
In this role, he/she/they will:
- Ensure smooth distribution operations by managing administrative processes, dealer support, contracts, documentation, payments, and operational activities accurately and in compliance with company policies.
- Drive process efficiency and continuous improvement by identifying bottlenecks, standardizing workflows, reducing errors, and improving productivity. Leverage data and reporting to monitor operational performance, identify trends and insights, and support effective business decision-making.
MAIN ACTIVITIES:
A. Administration Operation
- Contract +legal documents handling to ensure all revise/ renewal & align with company policy
- Manage Distribution items (starter kit + uniform + others) handling: stock check, delivery
- Support Dealer locator, website, Google My Business
- New MCS control list: signage request, Understanding letter, Land lease/owner certificate, Sales commitment, Changing form, Contract, timeline, PR, PO, Starter kit,
- Monitor Dealer portal performance
- Purchase receipt +payment request process: get requested docs + execute in BSC system
- Distribution fund payment process support
- AD Program (Associate Dealer) AD direct payment collection (Checking info: add'd file vs RAS, Fill AD creation form,Cross check bank info, Collect hard copy, Tracking vs WS, Upload to VMF excel
- Other requested tasks for business needs.
B. Process Improvement
- Review and mapping out the workflow, identify the pain points and bottleneck
- Implement solution to eliminate waste, reduce errors and increase productivity
- Ensure processes are documented and standardized and compliance
C. Data Analysis & reporting
- Responsible for collecting, analyzing and reporting on the data metrics that measure the performance & effectiveness of business operations via using various tools & methods to organize data like database, spreadsheets, dashboard or survey
- Be interprets and present data in clear & meaningful way to help identify trends, patterns and insights that make business decision
WHO WE ARE LOOKING FOR:
- Bachelor’s degree in Business Administration, Economics, Foreign Trade, or a related field; fresh graduates are welcome.
- Having relevant experience in administration, operations, or a related support role is an advantage.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines effectively.
- High attention to detail and accuracy, with a strong sense of responsibility and ownership.
- Proficient in Microsoft Office, with good analytical and problem-solving skills.
- Strong communication and collaboration skills, with good command of written and spoken English and the ability to work effectively with internal and external stakeholders.
- Able to travel and work in the field, including occasional work outside standard working hours and on weekends when required.
