The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.

The Program Coordinator will be responsible for the day-to-day execution of the GREAT program activities and provide support to the principal investigators (PIs) who oversee the overall operation of the GREAT program. The GREAT Program Coordinator I will play a major role in the recruitment, retention, and support of participants. The coordinator will conduct clerical and administrative duties, maintain the GREAT website and newsletter, and assist with conference attendance. The program coordinator will assist with the execution of the internal evaluation process.

This position is funded by a grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funding.

Responsibilities:

Program Administration and Operations

  • Coordinate the day-to-day administrative operations of the GREAT program in support of program objectives.
  • Support Principal Investigators (PIs) with implementation of program activities and training initiatives.
  • Maintain program records, participant documentation, calendars, and operational timelines.
  • Schedule meetings, workshops, seminars, and training events.
  • Prepare agendas, meeting minutes, reports, and correspondence.
  • Monitor participant compliance with program requirements and established deadlines.


Recruitment, Retention, and Participant Support

  • Assist with recruitment of undergraduate scholars from targeted student populations.
  • Coordinate application, selection, onboarding, and orientation processes.
  • Track scholar participation and progress throughout the program.
  • Provide guidance regarding program expectations, professional development activities, and required documentation.
  • Support scholar retention and engagement initiatives.
  • Serve as a primary point of contact for scholars, mentors, and other program stakeholders.


Website, Newsletter, and Communications Management

  • Maintain and update the GREAT program website.
  • Develop, edit, and distribute electronic newsletters, announcements, and other program communications.
  • Prepare promotional materials highlighting scholar achievements and program activities.
  • Coordinate communications with scholars, mentors, faculty, and institutional partners.
  • Assist with outreach efforts, including social media and other communication platforms.
  • Ensure consistency of program branding and messaging.


Evaluation, Data Management, and Reporting

  • Assist with implementation of the program's internal evaluation plan.
  • Collect, maintain, and organize participant and program assessment data.
  • Maintain databases and tracking systems to support program outcomes and grant reporting.
  • Assist with preparation of annual progress reports and evaluation summaries.
  • Coordinate survey administration and related data collection activities.
  • Ensure the accuracy, integrity, and confidentiality of participant records.


Conference, Workshop, and Event Coordination

  • Coordinate logistics for program workshops, seminars, research symposia, and other program events.
  • Assist scholars with conference registration, travel arrangements, required documentation, and reimbursement processes.
  • Coordinate event logistics, including facilities, materials, and participant communications.
  • Support scholar preparation for conference presentations and professional meetings.
  • Assist with post-event follow-up and evaluation activities.
  • Performs other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree.
  • Two years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.
  • Verbal and written communication skills.
  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in website maintenance and newsletter management.
  • Experience in event planning and coordination.
  • Ability to work independently and as part of a team.
  • Previous experience in a similar role.
  • Familiarity with evaluation processes and methodologies.
