Job Title: Commercial and Events Coordinator
Department: Commercial
Hours: 37 hours per week
Reports to: Commercial Director
Location: Office based
Purpose of the job:
BIGGA is a membership organisation for golf greenkeepers and currently has approximately 6,000 members from all areas of the greenkeeping industry. Those members join the Association to receive direct benefits, engage in educational and career development opportunities, network and promote their profession.
As Commercial and Events Coordinator you will:
- Co-ordinate the delivery of BIGGA’s national initiatives: Student Greenkeeper of the Year, ICL Scholarships, The R&A Championship Agronomy Programme, TPC Sawgrass, Mental Health workshop, and The BIGGA Delegation sponsored by Bernhard
- Coordinate and deliver events as directed by Commercial Director specifically: Golf Environment Awards, Early Bird Run at BTME, BIGGA Celebration and BIGGA Awards and BIGGA National
- Coordinate external events such as Saltex, GroundsFest, Golf Industry Show, ScotsTurf and any others that arise as conducted by Commercial Director
- Promote BIGGA in a positive manner to members, sponsors, clients, and the wider golf industry
- Build and maintain strong relationships internally and externally
Responsible for:
- Planning, co-ordination and delivery of the Association’s member events and initiatives. The list of events and initiatives is subject to change as the Association’s activity evolves. The role typically includes:
- Working with the Commercial team from client agreement until the event/initiative has finished
- Ensure there is clear communication with client
- Working with the Membership team to ensure smooth client and membership customer service
- Working with the Membership team, coordinate initiative application process and organise judging
- Coordinate and deliver any client meetings
- Delivering events on site or online as necessary
- Gather and analyse feedback following initiative and event and feedback to client
- Working with the Membership team where necessary
- Co-ordinating selection of successful applications
- Working within the Commercial team, ensure all elements of agreement are followed through
- Working with Commercial Director on end to end delivery of the Golf Environment Awards
- Attend BTME each year to support the Commercial team and delivery of any on-site events and engagement
- Provide support when necessary to Commercial Director
- Provide support to Marketing and Communications as directed by Commercial Director
- Support the wider Commercial team where necessary
- Produce internal reports on each initiative and event
- Attend BTME in January each year to support the delivery of events and engage with the Membership and BIGGA team
- Liaise with designer when necessary
Marketing:
- Produce and agree with Commercial Director marketing plans for each initiative and event, working with the Marketing and Communications team to maximise engagement, applications and attendance
- Monitor and report on the effectiveness of promotional activity, providing recommendations for future improvements
- Support marketing team to deliver plans on socials, website and GI
Additional responsibilities:
- Assist the Commercial team as necessary
- Gather content if needed for each initiative or event for promotion purposes
- Attend member events as directed by Commercial Director
- Attend exhibitions when directed
- Travel to gather content when needed and or directed
- Recommend ideas for improvement and highlight any problems
- Plan work efficiently to meet the departmental goals and objectives

Essential
- Excellent understanding of event management and planning
- A good knowledge of business practices, administration, meeting procedures, customer service skills and techniques
- Able to establish and maintain good working relationships with other departments, members and sponsors
- Good organisational, written and verbal skills
- Good communication skills
- Good attention to detail
- Able to multi-task and meet deadlines
- IT literate: Microsoft Office suite and social media channels
Desirable
- Understanding of Microsoft Dynamics CRM system
- Understanding of a membership organisation(s)
