Job Summary/Basic Function

Position Summary

The College Advancement Coordinator for Parent & Family Engagement and the McAndrews Fund for Athletics will report directly to the Director of Parent & Family Engagement and the Director of the McAndrews Fund for Athletics. This team member will work collaboratively within the Division of College Advancement and with other divisions across campus. The coordinator will work within multiple technology platforms to manage the day-to-day operational duties of their teams, offer consistent support to meet yearly engagement and fundraising goals, and provide excellent customer service to Dickinson alumni, families and friends.

Essential Functions

1. Project Coordination and Operational Support

 Coordinate and manage day-to-day operational activities for the Parent & Family Engagement and McAndrews Fund for Athletics programs. Using project management and constituent engagement platforms, develop and maintain project plans, timelines, and workflows to ensure tasks, deliverables, and strategic initiatives are completed efficiently and on schedule. Provide project management and administrative support to the Director of Parent & Family Engagement, Director of the McAndrews Fund for Athletics, and Associate Vice President as needed.

2. Communications Management
 Support the development and execution of communication strategies for families, alumni, donors, and friends of the college. Manage communication calendars; coordinate design, data, and production requests; and serve as a liaison with the Marketing & Communications team to establish timelines, specifications, and deliverables for print and electronic communications.

3. Event Planning and Execution
 Coordinate and execute logistical aspects of engagement and fundraising events, including registration management, attendee tracking and reporting, name-tag production, vendor and catering coordination, event setup and breakdown, and on-site support. Collaborate with internal and external partners to ensure successful delivery of events such as New Student Receptions, Homecoming & Family Weekend, Hall of Fame, Red & White Day, Commencement, Alumni Weekend McAndrews Fund Golf Tournament, and other departmental programs. Occasional evening and weekend work is required.

4. Volunteer Management & Constituent Relations
Provide support for parent and athletic related volunteer groups. This can include, but is not limited to, maintaining volunteer rosters, meeting coordination (virtually and in person), and on-boarding needs. Provide exceptional customer service and support to alumni, families, donors, and campus partners through phone, email, social media, and in-person interactions. Monitor and respond appropriately to departmental communication channels, including shared email accounts and family-focused social media platforms, ensuring timely, professional, and accurate communication.

5. Administrative and Meeting Support
 Provide administrative support for departmental operations, including scheduling meetings, coordinating travel arrangements, preparing agendas and materials, recording meeting minutes, maintaining documentation, and supporting other office initiatives as assigned.

6. Budget and Financial Coordination

Support the budget management of the Parent & Family Engagement and McAndrews Fund teams by assisting with purchasing activities, processing and monitoring internal and external contracts, coordinating billing and payment requests, tracking expenses, and reviewing budget reports to ensure accurate financial record keeping and compliance with college policies and procedures.

Other Duties and Responsibilities

  • Attend on and off campus events on behalf of the Division of College Advancement as appropriate.
  • Establish proficiency in all technology platforms and software required to support the needs of the Parent & Family Engagement and McAndrews Fund teams.
  • Develop relationships on behalf of College Advancement with campus partners.
  • Other duties as determined or assigned.

  • Not responsible for supervising others.

Education/Requirements

  • High school diploma or GED, required.
  • Cover letter & resume required.
  • References upon request.

Experience

  • 1 to 3 years of relevant experience.

Independence of Action

  • Work progress is monitored by supervisor/managers; incumbent follows precedents and procedures, and may set priorities and organizes work within general guidelines established by supervisor/manager.

Work Environment

  • Office environment/no specific or unusual physical or environmental demands.
