POSITION SUMMARY:
The Shipping Coordinator will coordinate and manage full truckload and LTL orders and schedule pickups. This individual will oversee outbound packages for transportation and assist in making sure all items are inspected, shipped, and processed on time while complying with company policies and guidelines. The Shipping Coordinator will ensure all scheduled shipments are available and loaded on time and within budget.
The Ideal candidate must be highly organized, analytical, proactive, and customer focused. This individual must be comfortable following up and actively pursuing information from internal teams, carriers, customers, vendors, and other partners to resolve issues and keep shipments moving. The Shipping Coordinator must take ownership of open items, identify potential problems before they become delays, and consistently follow through until issues are resolved.
KEY RESPONSIBILITIES:
• Reviewing sales orders, processing order changes, managing returns/cancellations, printing shipping labels, scheduling loads and processing shipping paperwork
• Coordinate and oversee shipping services to ensure that orders are filled correctly
• Communicating with shippers to provide rates, managing large quantities of packages, and assisting with various routing tasks
• Proactively follow up and chase missing information, approvals, documentation, confirmations, and shipment updates to ensure orders do not become delayed.
• Take ownership of open shipping issues and continuously follow through with the appropriate parties until the issue is resolved or a clear resolution has been established.
• Confirm and ensure weights and package sizes (dims) are correctly posted, correct charges are applied, and packages are transacted properly inside the company inventory system to resolve issues with shipping orders
• Manage Shipping Orders and Invoices by reviewing shipping notices, orders, invoices, and other documents to ensure that the correct shipping methods (TL, LTL, Parcel, Air, Ocean) are used, and documentation is accurately stored in the company database
• Analyze shipping information, orders, schedules, costs, and documentation to identify discrepancies, delays, trends, and opportunities for improvement.
• Maintain accurate, organized, and up-to-date shipping records, documentation, schedules, and tracking information
• Prioritize multiple shipments, deadlines, and requests while maintaining accuracy and attention to detail.
• Provide professional and responsive customer service to internal and external customers, maintaining a positive, helpful, and solutions-oriented attitude.
• Assist with inspecting loads and operations to make sure that they comply with shipping specifications and ensure proper use of warehouse space
• Compile required reporting and metrics in support of the business and department
• Other duties and tasks as assigned by manager.
SUPERVISORY RESPONSIBILITY:
This position has no direct reports.
POSITION REQUIREMENTS:
• Excellent communication and interpersonal skills, with the ability to interact effectively with internal teams, external partners, and customers.
• Strong customer-facing attitude with a professional, responsive, and solutions-oriented approach to resolving questions, concerns, and shipping issues.
• Highly organized with the ability to manage multiple orders, shipments, priorities, deadlines, and follow-up items simultaneously.
• Proactive and persistent in obtaining information; must be willing and able to follow up, make calls, send emails, and chase information until the required details are obtained and issues are resolved.
• Strong sense of ownership and accountability for assigned shipments and open issues from initial request through completion.
• Proficiency in logistics software and systems, such as transportation management systems (TMS) and enterprise resource planning (ERP) systems
• Proficiency in Microsoft Office Suite, specifically MS Excel for scheduling, tracking, and reporting.
• Knowledge of regulatory requirements and compliance standards related to transportation and logistics operations.
• Strong organizational skills with attention to detail
• Strong analytical skills and proficiency in data gathering.
• Flexibility to adapt to changing priorities and deadlines.
• Must be an individual that pays keen attention to even the smallest of details
• Must have good judgement and decision-making abilities
• Must be comfortable working in a fast-paced environment where timely follow-up and communication are critical to keeping shipments and customers on schedule.
• Must demonstrate a "follow-through" mindset and not wait for others to provide information when proactive follow-up is required.
REQUIRED EDUCATION AND EXPERIENCE:
• Proven experience of at least 2+ years of concrete and verifiable knowledge of shipping and/or logistics procedures
• A minimum of high school diploma required or equivalent
• Must have direct shipping day-to-day experience performing routing, processing, and closing sales orders after pickup of shipments, maintaining safe and clean dock shipping area
• Must be willing and able to work as part of a team
• Demonstrated ability to manage multiple priorities, follow up on open items, investigate discrepancies, and drive issues through to resolution.
• Previous experience in a customer-facing logistics, transportation, shipping, or order management environment is preferred.
