The Office and Event Support plays an essential role in contributing to our staff and partner experiences through supporting the logistical organization of meetings and events, being the face of our company, developing people relationships, and making people feel welcome as guests. You know how to be curious about opportunities and how to be real with feedback and support.
As the Office and Event Support with your Travel and Events team, you’ll create amazing experiences for all Lush staff and guests at our facilities and during in-person and virtual gatherings. You’ll do this by ensuring the Lush Leadership Practices are upheld and evident in all interactions with staff and guests, tours, interview candidates, and experiences created. You’ll build lasting, trusting relationships with core staff across the business as the point of contact for all office administration.

The Office and Event Support undertakes the following RESPONSIBILITIES:
Front Desk Support
- Providing excellent customer service when greeting visitors and receiving mail/courier packages
- Resolving issues that may occur onsite at our facilities and escalating problems as required
- Ensure all shared spaces reflect Lush branding standards and are kept clean, organized and tidy. Use our visual merchandising standards to ensure the reception has fresh product and campaign material on display.
- Directing guests safely and efficiently throughout the building by maintaining employee and department directories
Receiving, sorting, and notification of mail and courier packages
- Supporting HQ Teams with administration of letters for staff, mailing of personal effects, arranging courier for documents and tracking acceptance
- Acting as point of contact between the facilities team, Health & Safety team, and other HQ teams for building maintenance, events, and security
- Overseeing parking concerns (announcements and notifications to the maintenance team)
Gathering and Events
- Supporting the planning and execution of staff gatherings, events, parties, and meetings, including attendee data management, logistics, vendor partnerships while keeping our Lush values and ethics at the forefront
- Booking catering as required for on and off site meetings
- Booking meeting rooms and coordinating on and off-site team meetings
- Providing onsite event support from set up, tear down, volunteer coordination, presenter/speaker management and more
- Conceptualizing and executing local events in our offices in Toronto and Vancouver
Administrative Support
- Staying informed on what’s happening across the company in terms of campaigns, company news, etc. and supporting the communication of key company messages
- Maintaining a high level of confidentiality (emails, chats, phone calls and meetings)
Qualifications:
Required:
- 2+ years of reception/administrative/office coordination experience
- Strong working knowledge of Google Suite – Gmail, Drive, Docs, Slides, Sheets, Gchat, Tasks, Keep
- Outstanding interpersonal skills - ability to be the first point of contact for Lush by greeting staff and guests with a professional, friendly, upbeat personality
- Demonstrated ability in project management, including the ability to organize, plan, prioritize, and manage multiple tasks and projects, and effectively meet deadlines
- Exceptional verbal and written communication skills - effective listening, and ability to build rapport by phone and in person
- Ability to work independently
- Ability to work on multiple assignments, requiring attention to detail, with time-sensitive deadlines
- Ability to work in a constantly changing environment and adapt and pivot effectively
- A team player with a proactive, can-do attitude

This salary range is based on an assessment of the local market and may vary depending on the successful candidate's location. This range is based on base salary and does not include additional bonus program and total rewards eligibility.
