Position Overview

The Pre-Development Coordinator is responsible for coordinating and supporting the Pre-Development team throughout the early stages of the development lifecycle. The Pre-Development Coordinator will facilitate communication and collaboration across the Real Estate, Development, Construction, and other cross-functional teams, while providing project coordination and administrative support under the guidance and general oversight of department leadership. 

Key Result Areas

Partner the Pre-Development team with coordination and administrative activities for new shop development projects: 

  • Maintain accurate project information, documentation, records, and updates within project management systems 

  • Schedule meetings, capture notes, and track action items with internal teams and external partners 

  • Assist with project tracking, reporting, document organization, and milestone updates 

  • Support communication and coordination between Pre-Development, Real Estate, Construction, and other cross-functional teams 

  • Assist with preparing project materials, correspondence, and administrative tasks to support team objectives 

  • Organize and prioritize tasks to help meet project timelines and department goals 

Support Pre-Development Reporting and Process Improvements: 

  • Assist with maintaining project budgets, reports, and tracking tools with guidance from Pre-Development leadership  

  • Support the preparation of project updates, growth reports, and presentations as requested  

  • Assist with administrative projects and assignments to support department goals  

  • Support the ongoing improvement of processes, documentation, and team resources  

  • Assist with coordinating cross-functional meetings and maintaining communication across internal teams  

  • Serve as a resource for providing project updates, documentation, and information to internal partners as needed  

  • Assist with onboarding and knowledge sharing for new team members as requested  

  • Promote positive collaboration and strong relationships across Pre-Development and partner departments  

  • Provide administrative support to the Pre-Development team during periods of increased workload or as needed by leadership 

Oversee Department Inbox Management & Cross-Functional Communication: 

  • Monitor and respond to department communications, acknowledging requests and routing questions to the appropriate team members or departments  

  • Create and prepare written and verbal project correspondence as needed  

  • Support project turnovers by maintaining accurate documentation and coordinating communication of new shop updates to internal teams  

  • Assist with coordinating project-related materials, including banners, outdoor furniture, and other operational needs for new shop projects  

  • Maintain internal tracking tools to monitor new shop completion and project milestones  

  • Partner with the Finance team to research invoice-related questions and support project-related financial processes  

  • Assist with processing payments to landlords or developers for new projects as needed

Job Qualifications

  • Associate degree required 

  • Minimum of 1-2 years of administrative, project coordination, or related experience preferred 

  • Ability to support project coordination efforts, maintain documentation, and assist with tracking timelines, deliverables, and workflows 

  • Proficient in Microsoft Office Suite, particularly Excel and Word, as well as Google Workspace 

  • Strong written and verbal communication skills with the ability to collaborate effectively with internal teams and external partners 

  • Ability to work effectively in a team environment while also managing assigned tasks independently 

  • Strong organizational skills and attention to detail with the ability to manage multiple priorities 

  • Ability to work in a fast-paced environment and adapt to changing priorities 

  • Ability to learn new processes, systems, and software efficiently 

  • Strong follow-through and initiative with the ability to proactively identify next steps and support team needs 

  • Ability to prioritize daily tasks and maintain accurate records to support Pre-Development activities 

 

Location Requirement: 

This role is located in Tempe, AZ. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days. 

Physical Requirements 

  • In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions 

  • Must be able to collaborate in-person with occasional impromptu in-person meetings  

  • Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels 

  • Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretchesMust be able to occasionally move or lift office items up to 25 pounds 

  • Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed. 

  • Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively. 

  • Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed. 

  • Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.  

  • Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.
