Description

The Executive Sales, Procurement & Inventory Coordinator maintains deal data, inventory, sourcing pipeline, inspections, and priorities to keep information organized and current for reporting updates to the Senior Director, Transportation Procurement.

Essential responsibilities:

Priority management: Maintain a running list of priorities, calls, decisions, commitments, meetings, deadlines, and projects.

Daily briefing and action control: Prepare a concise daily brief: decisions needed, urgent opportunities, overdue items, aged/stalled inventory, margin risks, follow-up commitments, key meetings. Track decisions through to completion.

Sales operations and follow-up: Maintain active deal status, owner, next action, follow-up date, expected close date, expected margin, and notes. Chase salespeople on stalled opportunities, and missing CRM updates.

Inventory management: Maintain complete inventory records: specs, VIN/serial, location, condition/status, purchase info, costs, photos, listing status, asking price (wholesale/retail), price history, notes.

Inventory merchandising: Coordinate photos, listing data, descriptions, online posting status, and price updates/corrections so every available unit is represented accurately and professionally. -

Aged-unit management: Own the aging report and actively shepherd aging units to stay ahead of problems: current price, complete photos/listing, sales assignment, documented activity, and a recommendation (reprice, repair, wholesale, re-market, or retain).

Procurement and sourcing support: Maintain the purchase pipeline and seller/fleet/dealer records. Prepare purchase summaries with unit details, asking price, estimated cost, freight, repair/recon estimate, expected margin, market notes, and key risks.

Deal, margin, and expense visibility: Monitor expected vs. actual deal costs: purchase cost, sale price, freight, repairs/recon, commissions, title/doc costs, other expenses. Flag deals that are incomplete or below target margin.

Meetings, reporting, and systems: Prepare sales/procurement/inventory/management meeting materials, document commitments, produce reporting, and maintain trackers, checklists, and procedures.

Inspection review: Track inspections on equipment for acquisition, review inspection reports and photos, identify deficiencies against purchase terms, and go back to sellers to get resolution before closing. Enter inspection data and photos into Imanpro.

Decision authority: Request and organize information, enforce tracking standards, coordinate meetings, run routine follow-up, update inventory/pricing records within established guidelines, prepare decision materials, and run approved reporting processes.

Success measures: % of active deals with complete/current info, % of opportunities with a documented next action, reporting accuracy/timeliness, inventory record completeness, % of active inventory with current photos/listings, price-change accuracy and speed, reduction in aged inventory without a plan.

Our ideal candidate will have:

  • Strong organization skills, proactive, comfortable with high-volume, detailed work.
  • Advanced MS Excel, CRM/DMS, data entry, and reporting skills required.
  • Understanding of business and deal-management metrics, including margin, deal costs, and aging.
