Office Administrator – Temporary Position
In Office | Temporary | Barrie, ON
Our client is seeking an experienced Office Administrator to join their team on a temporary basis to cover a long-term leave. This is a great opportunity for an organized and adaptable administrative professional who enjoys a varied role and working closely with both internal teams and external contacts.
The successful candidate will provide day-to-day administrative and operational support, assist with office coordination and financial processes, and support management with a variety of projects and initiatives.
What You’ll Do:
- Provide confidential administrative and technical support to the branch.
- Prepare correspondence, reports, presentations, and other documentation.
- Act as the first point of contact for internal and external customers, responding to inquiries in a professional manner.
- Screen and process incoming mail and correspondence.
- Attend meetings and prepare meeting minutes as required.
- Provide administrative support for projects and ad hoc requests.
- Liaise with vendors and service providers.
- Order, receive, and maintain office supplies and equipment.
- Coordinate maintenance and servicing of copiers, printers, scanners, and other office equipment.
- Maintain key and alarm code records for employees.
- Ensure reception and common areas are organized and presentable.
- Assist with accounts payable and accounts receivable processes.
- Prepare purchase orders for items such as hardware, phones, and other business needs.
- Coordinate employee cell phone purchases and upgrades.
- Track and report travel expenses and assist with travel bookings.
- Coordinate and book meetings, boardrooms, and off-site venues.
- Coordinate logistics and equipment for meetings, seminars, workshops, events, and special projects.
- Contribute to the development and maintenance of policies, procedures, and standard operating procedures.
- Identify opportunities to improve administrative processes and efficiencies.
- Perform other duties as assigned.
What You Bring:
- Diploma or certificate in Office Administration, Business Administration, or a related field.
- 2+ years of experience in an administrative or office support role.
- Strong proficiency with Microsoft Office Suite and other standard office software.
- Excellent organizational and multitasking skills with the ability to prioritize competing demands.
- Strong written and verbal communication skills.
- Excellent attention to detail and problem-solving abilities.
- Ability to handle sensitive and confidential information with discretion.
- Previous experience supporting financial processes and/or working with purchase orders is considered an asset.
