King County'sDepartment of Local Services (RSD) is seeking an Administrator II to provide comprehensive administrative services and support to the Special Operations Unit, within the County Road Division’s Maintenance Section.The ideal candidate for this role will be a proactive highly organized individual,  with strong interpersonal skills, exceptional attention to detail, the ability to maintain focus in a fast-paced environment with competing priorities, and is committed to equity and social justice.  

The Administrator II will support Section operations by handling a diverse range of administrative tasks to assist managers, will work independently, conduct research, coordinate team efforts, evaluate new policies and procedures, analyze various types of information, prepare reports, and facilitate issue resolution on behalf of management. Scope of Job Duties: To be considered for this opportunity, you must at a minimum, demonstrate knowledge, skill and ability to:

  • Exhibit calm professionalism and good humor in the face of tackling emergent issues and shifting priorities. 
  • Create, review, refine, and finalize documents, letters, memos, contracts and/or reports to ensure they are accurate, and comply with established procedures and customer service standards.
  • Lead strategic and operational enhancements by developing, recommending, and implementing administrative policy and process improvements. 
  • Provide and evaluate project-specific information, interpret established policies, procedures, regulations, and other relevant sources, and prepare recommendations to management.
  • Handle sensitive and/or potentially volatile situations.
  • Create reports, charts, graphs, and other materials necessary to justify  management decisions.
  • Monitor and update deadlines for Section assignments and keep relevant parties informed.  
  • Ensure administrative staff consistently apply policies, procedures, communication protocols, and reporting standards throughout the Section. 
  • Draft policies and procedures ensuring compliance with applicable King County, Washington State, and Federal requirements.
  • Prepare,  track and distribute various paperwork and DocuSign documents. 
  • Develop, update, and implement administrative systems, such as spreadsheets to track, store, and manage information for Section assignments, special projects, emergency response information, training, etc. 
  • Organize logistics and prepare meeting materials, minutes, summaries. 
  • Respond to community partners to address and resolve concerns.
  • Other duties as assigned.

  • Demonstrated ability in providing high level administrative support.  
  • Experience in assessing and recommending enhancements to administrative processes and overall efficiencies.  
  • Experience managing calendars, scheduling meetings, and coordinating logistics for complex projects. 
  • Ability to work independently with minimal direction as well as collaboratively as an effective team member. 
  • Excellent oral and written communication skills; Demonstrated capacity in  following through on assignments.
  • Exceptional organizational skills; Strong attention to detail with the ability to proofread and ensure accuracy in documents, letters, memos, contracts and reports.
  • Possess strong problem-solving skills, including the ability to identify issues and develop practical solutions.  
  • Skill in conducting research and analysis on complex work assignments.
  • Experience working in a fast-paced, highly dynamic work environment.
  • Ability to work under pressure in emergency situations, which may involve stressful conditions and the need for working overtime.  
  • Proficient in handling inquiries from community partners, the general public, and collaborating with interest groups. 
  • Strong proficiency in Microsoft Office Suite (Microsoft Word, Excel, PowerPoint, Teams, Access, Outlook) and other productivity tools.
  • Ability to work with diverse individuals, internal and external customers, while maintaining effective relationships across all levels of the organization. 
  • Ability to multi­ task, work under pressure, and meet tight deadlines.
DESIRED QUALIFICATIONS:
  • Knowledge of general and King County administrative policies, procedures, and practices.

INTERVIEW SCHEDULE:

This recruitment will be used to fill one (1) term-limited or special duty position expected to last up to 12 months with possibility of extension. It is open to all qualified applicants and may be used to fill current and or/future career service, term-limited temporary, short-term temporary, and or/special duty positions over the next six months.  

First consideration will be given to current PROTEC17 members in the same classification that are eligible for lateral transfer.

WORK SCHEDULE
:
The work week is typically Monday through Friday, 8:00 a.m. to 5:00 p.m., but may at times require work outside of normal business hours. This position is Non-Exempt from the provisions of the Fair Labor Standard Act and is eligible for overtime pay, with prior supervisor approval.  

EMERGENCY DESIGNATION STATUS: 
This position has been designated (Mission-Critical) - Those employees who provide, maintain, and re-establish essential county functions as described in agency Continuity of Operations plans. 

Unless otherwise directed by the County Executive, department director or agency head, all employees, regardless of designation, are expected to report to work or request leave during an emergency or inclement weather. TELEWORKING REQUIREMENT:
This is a hybrid position. The work associated with this position will be performed by teleworking, onsite work and meetings as needed. The responsibilities of this position will include regular and ongoing in-office work. 

Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. 

Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
