Salary Range: $73,000 to $85,000

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The Productivity Tools Administrator serves as the primary technical administrator for enterprise productivity platforms within Information Technology Services (ITS) at the University of St. Thomas. This role is responsible for the configuration, governance, maintenance, and optimization of Microsoft 365 collaboration services and certain institutionally supported generative AI tools that interact with the enterprise collaboration suite.

 

Operating within a shared service model, this position partners with Service Desk, Information Security, Infrastructure, and other ITS teams to ensure supported tools are secure, sustainable, and effectively maintained. While multiple ITS teams provide user support, this role serves as the subject-matter expert and Tier 2/3 escalation point for platform-related issues and collaborate advanced use cases.  This role also serves as a subject-matter expert in our technology intake process, ensuring these products are represented in both internal and external solutioning discussions.

 

ESSENTIAL FUNCTIONS

Platform Administration & Governance

  • Administer Microsoft 365 services, including:

    • Teams

    • SharePoint Online

    • OneDrive

    • Outlook

    • Microsoft Copilot

    • Administer certain institutionally supported enterprise AI tools.

  • Configure and maintain policies, permissions, and governance controls.

  • Manage workspace and group lifecycle standards (Teams, SharePoint sites, M365 groups).

  • Monitor licensing, usage, and service health.

  • Evaluate new features and coordinate adoption with relevant ITS stakeholders.

  • Coordinate with the Information Security team to implement institutional policies related to supported tools (policy ownership resides elsewhere).

Shared Service Collaboration

  • Partner with Tech Desk to align support processes and knowledge resources.

  • Provide Tier 2/3 escalation support for complex or platform-level issues.

  • Work out of an IT ticket management system.

  • Coordinate with Information Security on compliance and data protection controls.

  • Collaborate with Infrastructure and Identity teams on integration and access management.

  • Contribute to change planning and internal communications related to platform updates.

Documentation & Resource Support

  • Develop and maintain clear technical documentation and knowledge base articles.

  • Provide guidance to users on supported features and appropriate use of certain enterprise AI tools within established institutional standards.

  • Identify recurring support issues and recommend configuration or documentation improvements.

Remaining Functions / Flexible Capacity

  • Remains current with ITS procedures, policies, and best practices, including incident management protocols, ITSM tracking and documentation standards, and ITS communication guidelines.
  • Accurate and timely documentation of all support activity within the designated ITSM platform is an essential expectation of this role, ensuring continuity of service and contributing to the broader ITS knowledge base. 

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree in Information Technology or related field (or equivalent experience)

  • Experience administering Microsoft 365 in an enterprise environment

  • Familiarity with permissions models, identity management, and compliance settings

  • Experience supporting enterprise applications in a collaborative IT environment

  • Strong written communication skills

Preferred Qualifications

  • Experience with Microsoft 365 Admin Center and PowerShell

  • Experience with Power Platform

  • Experience supporting Microsoft Copilot or enterprise ChatGPT environments

  • Experience in higher education IT

  • Microsoft certifications
