Position Summary
Guggenheim is seeking an exceptional individual to join its team as Front of House Host. This person will join a highly energized team responsible for maintaining global operational standards with a professional demeanor. While the primary focus of the role is delivering exceptional front-of-house and client experience, the Host also provides hands-on office services support and assists with facilities matters as needed, including escorting and supervising vendors and contractors onsite and developing a general working knowledge of both office services and building facilities operations. In addition to excellent communication skills, the ideal candidate will demonstrate an ability to roll up their sleeves and perform all responsibilities needed to ensure success. The successful candidate will be comfortable interacting with all levels of employees throughout the organization in a fast-paced environment. The position is in the London office.
Essential Job Functions
- Deliver an exceptional front-of-house experience, offering outstanding service to all visitors while maintaining a friendly and professional demeanour.
- Support visitor registration and ensure compliance with security protocols, maintaining accurate arrival and departure records.
- Coordinate guest arrivals in collaboration with the Front of House Administrator, ensuring guests are welcomed and escorted to their destinations and that visitors, vendors, and contractors are not left unaccompanied in restricted areas.
- Manage enquiries and requests efficiently, providing timely and professional responses and escalating matters to the appropriate business or support partner.
- Assist with client meeting room set-ups, including beverage and catering preparation, pre-meeting checks of room presentation and audio-visual readiness, and prompt resets after use; partner with IT on first-line meeting room technology support.
- Provide reception desk cover on the client floor as required, and assist with the coordination of onsite events, including room bookings, catering, signage, furniture configuration, and liaison with building management for extended-hours access.
- Help maintain tea-points, pantries, and copy rooms, ensuring they are well organized, fully stocked, and presentable throughout the business day, and monitor pantry and office equipment, arranging servicing and preventive maintenance as needed.
- Monitor and replenish pantry, stationery, and print supplies, obtaining vendor quotes and raising requisitions and purchase orders within delegated approval limits; support cost control by tracking spend and reconciling vendor invoices.
- Manage incoming and outgoing post, courier shipments, and deliveries, including logging, distribution, controlled handling of confidential or time-sensitive materials, and international shipments with customs documentation as required.
- Support document production and finishing requests for deal teams, including printing, binding, scanning, and dispatch, and maintain multifunction print devices, logging service calls with vendors to minimise downtime.
- Administer employee, temporary staff, visitor access, support desk and locker assignments, assist with onboarding offboard logistics, including desk set-up, welcome materials, and the collection of equipment on departure.
- Coordinate secure confidential waste and shredding services, and manage records retention, offsite storage, and retrieval requests.
- Conduct daily floor walks across occupied space, identifying and reporting issues relating to cleanliness, lighting, temperature, furniture, washrooms, and general presentation, and raising work orders through to closure.
- Act as a day-to-day point of contact for building management and onsite service partners, including cleaning, catering, security, and maintenance vendors.
- Escort and supervise contractors and vendors while onsite, confirming scope of work and sign-in and that required permits, method statements, and insurance documentation are in place before work begins, including out-of-hours and occasional weekend works.
- Support small office moves, desk churn, and furniture reconfigurations, coordinating with IT, building management, and vendors to minimize disruption to the business.
- Assist with health, safety, and business continuity requirements, including serving as a fire warden and first aider (training provided), participating in evacuation drills, maintaining emergency supplies and contact lists, and keeping inspection logs current.
- Develop a general working knowledge of office services processes, base-building systems, and landlord services sufficient to respond to routine requests independently and provide cover across both areas.
- Maintain accurate office records, including inventory and supply logs, seating charts and floor plans, vendor contact lists, and written procedures, so the function can be covered seamlessly during absences.
- Undertake special projects and provide support to management as needed.
Preferred Qualifications
- Strong customer service skills a must, ideally gained in corporate front of house, office services, facilities, or hospitality within a professional or financial services environment.
- Knowledge of MS Office, including Outlook, Word, Excel, and PowerPoint; familiarity with room booking, visitor management, or work order systems is an advantage.
- Ability to effectively collaborate with a diverse range of stakeholders including senior management, clients, building management, and external vendors, with a working understanding of vendor and contractor management, permits, and basic health and safety requirements.
- Good interpersonal, organizational, communication, and problem-solving skills are required, together with high attention to detail and sound judgement in handling confidential information.
- Must be hands-on and be willing to roll up their sleeves to perform all responsibilities needed to ensure success, including occasional lifting and set-up of office furniture and supplies, and flexibility to work outside standard business hours to support events, contractor works, or office projects.
Basic Qualifications
- Must successfully pass a background and credit check.

- Must have the right to work in the United Kingdom.
Work Location
- This role is expected to be in the London office 5 days per week.
- The nature of the role requires an onsite presence, with occasional early starts, late finishes, or weekend attendance to support events, contractor works, and office projects.
