We're passionate about creating exceptional places for students to live and learn, and we're now looking for a CAFM Manager to play a key role in supporting the effective management of our facilities and asset data nationwide. 

 

We are looking for a CAFM Manager to join the team and help in managing UPP's CAFM system, Planon, and work closely with Operations, Asset Management, Procurement and Technical Services teams to deliver data quality, maintenance schedules, compliance and effective reporting, while driving asset management, operational efficiency and continuous improvement.

 

This role is based in our award-winning London office and offers hybrid working, ideally located within easy reach of London Bridge, Cannon Street, Monument and Bank stations.

 

You’ll join a small collaborative team where you'll have the opportunity to influence how facilities and asset information is managed across a diverse property portfolio. This is a great opportunity if you are passionate about systems, data and operational excellence.

 

Key responsibilities will include:

  • Manage the streamlined operation of the CAFM / Planon system, ensuring it remains efficient, reliable and effective for all departments through the application of best practice, robust system governance and continuous improvement.
  • Manage and maintain asset data, maintenance schedules and compliance records. Maintain awareness of current and changing legislation, guidance and standards
  • Support Planned Preventative Maintenance (PPM) programmes and monitoring reactive maintenance performance.
  • Build relationships with key stakeholders and internal teams across the organisation to improve processes, data quality and operational performance.
  • Liaise with site teams and the Asset Management team to ensure asset replacement processes, including those arising from summer works programmes, are followed and that changes are identified, recorded and actioned in a timely manner.
  • Monitor the day-to-day reactive maintenance process within CAFM / Planon, ensuring reactive work orders are correctly raised, categorised, prioritised, assigned and progressed in line with agreed service standards.
  • Produce performance, audit and compliance reporting on a regular basis, identifying trends and opportunities.
  • Undertake CAFM and compliance system audits to review call categorisation, CAFM records and automated workflows, documenting findings and taking corrective action where required.
  • Develop reporting templates to support efficient planning, compliance and status reporting for local management teams and functional support teams and provide collaborative support for Power BI reporting.
  • Support system upgrades, integrations and reporting enhancements.
  • Provide system training, guidance and support to users across the business.

 

We are looking for you to have worked in a similar role and environment with:

  • Experience administering a CAFM or IWMS platform within a facilities, property or asset management environment. Planon would be an advantage but not essential.
  • Good knowledge of PPM, asset management, statutory compliance, KPIs and SLAs.
  • Strong analytical skills with the ability to interpret data and make recommendations.
  • Excellent stakeholder management and communication skills.
  • A proactive approach with a passion for continuous process and system improvement.

 

Alongside this you to be a highly organised with an attention to detail and able to effectively communicate with all stakeholders and build excellent customer relationships. You will be a natural problem solver with the ability to adapt to changing priorities in a fast-paced environment.
