Project Environment

The role supports a major digitalisation programme focused on transforming operational, organisational and administrative processes in the land and air domains.

The programme assists both operational and civilian organisations in managing the process, governance and coordination challenges associated with large-scale digital transformation.

The Expert Business Integration will operate in an operational Project Management Office role. The position focuses primarily on project structure, documentation, controlling, resource coordination and administrative project governance within a complex programme environment.

Responsibilities

  • Support project leadership in the planning, coordination, monitoring and control of project activities.
  • Ensure the reliable execution of operational and administrative project-management processes.
  • Coordinate the onboarding and offboarding of internal team members and external service providers.
  • Provide continuous organisational and administrative support to the project team.
  • Perform capacity and resource planning by comparing project demand with available internal and external personnel.
  • Maintain resource overviews, staffing plans and capacity forecasts.
  • Monitor and follow up on weekly and monthly time recording across the project team.
  • Prepare and validate performance records and service confirmations.
  • Compare reported services and working hours against project contracts, budgets and agreed assignments.
  • Identify inconsistencies in reported services, hours, budgets or resource allocations and coordinate clarification.
  • Organise, prepare and document meetings, management reports, workshops and internal project events.
  • Prepare agendas, minutes, action lists and follow-up trackers.
  • Ensure that agreed actions, decisions and deadlines are documented and consistently monitored.
  • Create and quality-check presentations, reports, emails and management information.
  • Adapt project information to the needs of different recipients, including project leadership and senior management.
  • Maintain a reliable and consistent information basis for project decisions.
  • Coordinate interfaces between the project, procurement and controlling functions.
  • Support project controlling, budget monitoring and commercial coordination.
  • Maintain project documentation, trackers, status reports and governance records.
  • Support the development and continuous improvement of PMO structures, templates and working methods.
  • Assist the project leadership in preparing decision papers and management presentations.
  • Contribute to structured communication across multiple projects, teams and organisational interfaces.

Required Qualifications

  • At least three years of relevant professional experience in a Project Management Office or operational project-management role within the last five years.
  • Practical experience supporting project leadership, project controlling, multi-project management or the establishment of PMO structures.
  • Valid project-management or agile certification at one of the following or an equivalent level:
    • IPMA Level D or higher
    • PRINCE2 Practitioner
    • Project Management Professional
    • Professional Scrum Master II
    • Comparable recognised agile certification
  • German language skills at CEFR C1 level.
  • English language skills at CEFR B1 level or higher.
  • Strong knowledge of classical, agile or hybrid project-management methods.

Required Tool Skills

The candidate should have practical experience with at least one common project-management or collaboration platform, such as:

  • Jira and Confluence
  • Asana
  • Smartsheet
  • Comparable project-management tools

The candidate must also have:

  • Strong Microsoft Excel skills, including pivot tables and data analysis.
  • Practical knowledge of SAP.
  • Good knowledge of Microsoft Word and PowerPoint.
  • Experience preparing management reports, project trackers and resource overviews.
  • Experience using digital tools for scheduling, resource management, reporting and project controlling.

Required Professional Experience

The candidate should have demonstrable experience in the following areas:

  • Operational PMO support.
  • Project planning and project controlling.
  • Capacity and resource management.
  • Time-recording monitoring and reconciliation.
  • Validation of services and working hours against contracts and budgets.
  • Onboarding and offboarding coordination.
  • Meeting, workshop and event organisation.
  • Preparation of status reports, presentations and decision documents.
  • Coordination with project leadership and senior management.
  • Interface management involving project teams, procurement and controlling.
  • Maintenance of project documentation and governance records.
  • Support of large IT programmes, digitalisation projects or complex organisational projects.

Preferred Industry Experience

At least two years of project experience in one or more regulated or process-intensive environments is required, for example:

  • Public administration
  • Defence
  • Aerospace
  • Automotive
  • Energy
  • Banking
  • Insurance
  • Other large and strongly governed organisations

The experience should demonstrate familiarity with formal governance structures, defined approval processes, complex stakeholder coordination and structured project-management procedures.

Working Conditions

  • Approximately 50% of the work may be performed remotely.
  • Business travel is required depending on project needs.
  • Travel may be undertaken by private car, rental vehicle, train or other public transport in accordance with the applicable travel policy.
  • Candidate profiles must include nationality information.
  • Applicable security-related nationality and country restrictions must be observed.
  • Eligibility for assignment in a security-sensitive environment must be confirmed before deployment.
