Position Type: Full-time, hourly

Pay Range: $18-21/hour


Under the direction of the Child Care Director, the Child Development Office Specialist provides administrative and customer service support for the YMCA's Child Care Department. This position serves as the primary point of contact for families regarding child care, preschool, school-age care, camp, and related programs. Responsibilities include assisting families through the enrollment process, maintaining accurate child care records, processing registrations and payments, supporting CACFP documentation, and providing administrative assistance to the Child Care leadership team.


The Child Development Office Specialist plays an important role in creating a welcoming, organized, and efficient office environment while delivering exceptional customer service consistent with the YMCA's mission and core values.

Requirements

Education/Training/Certifications:

1. Business, accounting, or clerical experience is required.

2. CPR/AED and First Aid Certification within 60 days of employment.

3. Pass fingerprint background check.

4. Other trainings as required by the YMCA.


Technical Knowledge/Skills:

1. Proficient in Microsoft Office, accurate data entry, and able to learn in-house programs.

2. Problem solve, considering various impacting factors, and interpret instructions.

3. Strong verbal and written communication skills.


Proficiencies and Professionalism:

1. Language Skills – Read, analyze, interpret, and create technical business communications.

2. Mathematical Skills – Accurately record program registration data and process billing and payment information.

3. Work Performance Skills -- Organize, prioritize and manage tasks with limited supervision. Be a collaborative and effective team member. Exercise sound and safe professional judgment, taking decisive action when called to do so. Demonstrate willingness to learn, accept responsibility, take initiative, and be flexible. Maintain confidentiality.


PHYSICAL REQUIREMENTS

Must be able to effectively communicate and actively interact with parents, children, participants and employees. Must be able to lift and carry supplies up to 25 pounds. Must be able to operate office equipment.


RESPONSIBILTIES

1. Complete all duties needed for successful enrollment such as preparing packets, assisting parents in paperwork completion, payment collection, creation of files, and preparing rosters.

2. Keep all forms updated such as enrollment packets and parent handbooks.

3. Track all information that is needed for licensing, rosters, files, allergies, food program, and special circumstances.

4. Communicate and assist parents and families in an effective and respectful manner.

5. Assist other staff and departments in providing documentation necessary for them to complete funding and other reports such as DCF Funding and Nutrition Program Reimbursement.

6. Establish positive and productive relationships with children, families, and employees.

7. Maintain a commitment to professionalism and quality programming for children by promoting the YMCA mission and core values of Caring, Honesty, Respect, and Responsibility.

8. Assist with preparing for meetings, trainings, and other special events.

9. Attend staff meetings, staff trainings, and in-services provided by the YMCA.

10. Comply with all YMCA procedures, processes, and policies.

11. Perform all other duties as assigned by the Child Care Director or CEO.
