- CEO Calendar & Schedule Management
- Coordinate internal and external meetings, manage calendar, and set priorities
- Actively work with ZEISS global stakeholder for meeting schedules
- Arrange business trips, including travel bookings and itinerary preparation
- Administrative & Operational Support
- Handle expense claims and track cost-related documentation
- Carry out general administrative and office-related tasks
- Manage and support the CEO’s participation in external associations and presentations
- Logistics Coordination
- Manage meeting logistics including reservations and materials preparation
- Support visitor management and executive events
- Actively manage all external restaurant & dining venue reservations
- Communication Support
- Facilitate communication with internal and external stakeholders
- Support Company-wide event with GA team
- Manage and monitor the company main telephone line and general email inbox in timely manner
Qualification
- 2–5 years of relevant experience as an Executive Assistant, Team Assistant, or Office Administrator
- Strong organizational, time-management, and multitasking skills
- High level of integrity, professionalism, and ability to maintain confidentiality
- Ability to work effectively in a fast-paced and dynamic environment
- Proficiency in MS Office (Outlook, Excel, PowerPoint)
- English communication skills must
- Strong interpersonal skills and a service-oriented mindset
- Detail-oriented, proactive, and a strong sense of ownership
- Experience in multinational companies or fast-paced environments is an advantage
