Job Summary:

Provide dependable, professional, and hospitality-focused in-person support for campus visits and admissions events. The Visits & Events Coordinator works closely with the Senior Visit Manager to coordinate the operational details that create a seamless and welcoming experience for prospective students, families, and campus partners.
This position is primarily in person due to its highly collaborative and visitor-facing nature. Limited schedule flexibility may be available based on operational needs and demonstrated performance. Occasional evening and weekend work is required to support admissions events.

Salary:
Pay range $23.00 - $24.84 per hour
Actual salary offered is determined by the candidate’s experience, education, skills, and other factors, including internal equity and university funding resources.

Job Description:

What We're Looking For:

  • Experience in event coordination, hospitality, customer service, admissions, or administrative support.

  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.

  • An eye for detail and the ability to anticipate needs, identify potential challenges, and solve problems proactively.

  • Proficiency with Microsoft Office and database systems; experience with CRM platforms is preferred.

  • A proactive and self-motivated individual with strong initiative and follow-through.

  • Excellent written and verbal communication skills and a warm, professional approach when interacting with others.

  • Flexibility and adaptability in a fast-paced, collaborative environment.

  • Knowledge and experience working with a diverse population is preferred.

What You'll Be Doing:

  • Support the day-to-day operations of the Admissions front desk and visitor experience, providing excellent customer service to prospective students, families, and campus partners.

  • Coordinate daily campus visit logistics, including visitor packets, meal passes, name tags, tour materials, hospitality details, and welcoming guest spaces.

  • Coordinate group and customized visits, including scheduling, confirmations, individualized itineraries, visitor communications, and collaboration with faculty and campus partners.

  • Coordinate the logistical execution of admissions events such as Preview Days, Sunset Tours, and other special programs.

  • Submit and track work orders, room reservations, catering requests, event materials, registration numbers, planning documents, and event timelines.

  • Assist with event setup, breakdown, walkthroughs, quality assurance, and day-of execution alongside student ambassadors and campus partners.

  • Collaborate with Facilities, Dining Services, faculty, staff, and other campus partners to communicate schedules, timelines, and operational needs.

  • Work alongside the Senior Visit Manager and student ambassador team, providing guidance during visits and events and assisting with training and preparation for admissions programming.

Qualifications:

  • Bachelor's degree preferred or equivalent experience in event coordination, hospitality, customer service, admissions, or administrative support.

  • Demonstrated organizational and project coordination skills.

  • Proficiency with Microsoft Office and database systems; experience with CRM platforms is preferred.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities while maintaining strong attention to detail.

  • Ability to work collaboratively with diverse groups of students, families, faculty, and staff.

  • Commitment to excellent customer service and hospitality.

  • Evidence of Christian commitment and active church involvement. In addition, staff agree to live in agreement with PLNU's Community Life Covenant.

Physical Requirements:

  • Work requires a combination of sitting, standing, and walking, including extended periods of standing and walking during campus visits and admissions events.

  • Use of computer equipment, including a computer keyboard, mouse, and monitor.

  • Vision to read documents, email and other correspondence, and reports on paper and a computer monitor.

  • Ability to communicate effectively with others in person and by phone.

  • Ability to move event materials and supplies and navigate the university campus independently.

  • Occasional evening and weekend availability is required to support admissions events.
