How You Can Make an Impact
The Human Resources Assistant provides administrative support for HR functions, including union onboarding, employment verifications, compliance documentation, and employee file management. This role ensures accurate processing of employment records, maintains I-9 compliance, coordinates audits, and supports daily HR operations while maintaining confidentiality and regulatory compliance. The schedule for this position is Monday – Friday 7:00 a.m. – 3:30 p.m.
How You Will Contribute
- Process union new hire onboarding, including document collection, file management, and data entry into relevant systems. Assist with non-union onboarding as needed.
- Initiate and review pre-employment requirements (e.g., background checks, motor vehicle records, and employment verifications).
- Complete and verify I-9 forms; maintain I-9 records, including conducting monthly and annual audits.
- Communicate Joint Apprenticeship Training Committee (JATC) correspondence via email to the appropriate employees and supervisors, and ensure all correspondence is properly filed and maintained for recordkeeping.
- Process union referrals that are not selected for hire, including completing required paperwork and documentation.
- Complete Department of Transportation (DOT) employment verifications for DOT-regulated employees.
- Conduct follow-up calls with non-union new hires after successful onboarding completion.
- Assist in filing all employee documents sent to HR from various departments.
- Maintain and update employment records in the HRIS system.
- Ensure confidential and accurate recordkeeping of employment files.
- Conduct annual audits of hard copy and electronic files to ensure records are accurate, complete, and up to date.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Provide general support across HR functions and processes.
- Perform additional job-related duties as assigned.
- Proficient in Microsoft Office Suites (Outlook, Word, Excel)
- Excellent verbal and written communication skills, with the ability to communicate in a concise, professional, and timely manner.
- Ability to maintain a high degree of discretion, diplomacy, and confidentiality.
- Critical thinking skills – using logic to identify alternative solutions, conclusions, or approaches to problems.
- Proficiency with or the ability to quickly learn HRIS and other Human Resources systems.
- High School Diploma or GED equivalent
- Minimum 2 years of administrative experience.
Pay: $25.00 -$28.00 per hour
This pay range is our competitive compensation at the time of this job posting. Your pay will be determined based on experience, education, skills, and applicable knowledge.
