Job Summary
VasCore is seeking a highly organized and adaptable Staff Assistant III to support both office coordination and administrative functions. This role includes front desk responsibilities, office maintenance, supply coordination, and support for study-related documentation and data tracking. The ideal candidate is a strong multitasker who can seamlessly shift between administrative tasks and study support duties, all while maintaining a high level of accuracy and professionalism. Strong communication skills, attention to detail, and the ability to manage competing priorities are essential for success in this dynamic role. Experience in a hospital or clinical setting is preferred.

Office Coordinating:
Welcomes and assists visitors upon arrival.
Manages incoming calls and directs them appropriately.
Maintains the organization and upkeep of VasCore’s office environment.
Manages office supply procurement and processes payments for office-related expenses.
Laboratory:
Assist in managing the receipt of studies in accordance with procedures specified in the VasCore Manual of Operations
Assist with entry and maintenance of study log tracking system and subject files
Data entry into web-based electronic data capture systems
Perform entry and maintenance of media storage logs and archiving of images and documents
Assist in preparing and distributing documents (correspondence,
presentations, study binders, and reports)
Assist with maintenance of study contact database
Communicating with study sponsors and sites
Advanced level computer skills with spreadsheet and database management experience
May be required to assist Administrative Manager in maintaining required documentation of Quality Assurance (QA) and Corrective Action and Preventive Auction (CAPA) materials.
May be required to support VasCore Leadership in preparation for and during audits.
Experience
Experience in an administrative role, preferably in a healthcare setting 3- 5 years required in a hospital setting preferred
Knowledge, Skills and Abilities
- Proficient in Microsoft Office Suite (Word, Excel, Power point, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
