Your main responsibilities will be to provide general clerical support to the Human Resource Department, such as scanning, data entry, filing, submitting background or DMV checks, and gaining experience in document editing and surveys. The HR Clerk will also assist with requests via the HR email inbox as needed, at the direction of the HR Supervisor. Be a part of the team that provides the vital support that allows our programs to run efficiently, directly contributing to our mission of reducing the impacts of poverty in our community.
MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND EXPERIENCE
- High School Diploma or GED.
- One year of administrative experience or documented college coursework. Degree completion is not required.
- Preference may be given to candidates who are actively enrolled in post-secondary education in Human Resources, Business Administration, Psychology, or a related field.
CERTIFICATES, LICENSES, REGISTRATIONS
- Driver qualification status is not required for this position.
- Candidate must pass a comprehensive MWVCAA background screening prior to employment.
- Successful registration with the Central Background Registry of the Child Care Division
- Candidate must pass pre-employment and random drug/alcohol screenings.
KNOWLEDGE, SKILLS, AND ABILITIES
- Basic computer skills, including experience with Microsoft Office (Outlook, Word, Teams, Excel), are required.
- Attention to detail and accuracy required.
- Oral and written communication skills and ability to respond to requests in a professional manner.
- Bilingual English/Spanish reading, writing, and speaking capabilities are preferred but not required. A bilingual differential may be available upon successfully passing a bilingual skills test.
WHAT YOU WILL DO TO SUPPORT THE COMMUNITY This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required.
- Provides clerical support and general assistance to HR Department Staff and the Associate Director
- Researches and assembles information for projects such as onboarding, recruitment outreach, group trainings, job fairs, and all-staff events.
- Learns basic HR processes in support of recruiters, including but not limited to: conducting phone screens, conducting pre-employment screening, adding new hires into Paycom, and creating paper and digital personnel files.
- Enters data into systems accurately from submitted paperwork. Scanning and attaching documents to employee files.
- Provides support as needed to HR Assistants by responding to email requests pertaining to document updates and data entry.
- May include editing tasks such as surveys, proof-reading job postings, job descriptions, and other documents.
- Provides occasional back-up front desk phone and check in tasks if a receptionist is out of office.

There are no supervisory duties in this position.

- Specific vision abilities required by this job include close vision and ability to adjust focus.
- Occasionally lift up to 25 pounds. Manual dexterity for data entry handling office equipment.
- Able to move between floors using stairways (no building elevator available).
- May need to crouch to do filing tasks.
- Frequent processing of large amounts of time-sensitive paper and digital files while maintaining accuracy and confidentiality.
WORK ENVIRONMENT
- Indoor, office work environment with frequent interruptions and demands.
- Works with staff and applicants over the phone, video calls and in-person.
- Occasional noise and distractions in workspaces.
- May require the flexibility to change workspaces to adjust to staffing levels and space constraints.
