Key Responsibilities
Executive & Business Support (80%)
- Manage complex calendars, meetings and appointments for the Director and provide administrative support to the Assistant General Manager (AGM).
- Coordinate domestic and international business travel, including flights, accommodation, visas and detailed itineraries.
- Prepare meeting materials, presentations, reports, correspondence and meeting minutes.
- Act as the key liaison between internal departments, external stakeholders and business partners.
- Monitor action items, follow up on outstanding matters and ensure deadlines are met.
- Coordinate meetings, events and business-related engagements.
- Manage confidential documents, records and sensitive business information.
- Assist with expense management, procurement and general office administration.
- Work closely with the AGM on operational matters and provide administrative support across business functions.
- During the AGM's travel or absence, coordinate ongoing operational matters, monitor priorities and ensure smooth day-to-day business operations.
Personal Support (20%)
- Manage selected personal appointments and schedules for the principal.
- Coordinate personal travel arrangements and lifestyle-related bookings.
- Assist with family logistics, reservations, gifting and special occasions when required.
- Liaise with external vendors and service providers for personal matters.
- Handle confidential personal information with professionalism and discretion.
Requirements
- Minimum 5 years' experience as an Executive Assistant, Personal Assistant or Executive Office Coordinator supporting senior management.
- Experience working in a family office, private company, or HNW/UHNW environment, or supporting C-suite executives, is advantageous.
- Exceptional organisational, planning and multitasking abilities.
- Strong communication and stakeholder management skills.
- High level of professionalism, discretion and integrity.
- Able to work independently, anticipate needs and make sound decisions.
- Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Flexible to support occasional after-hours or urgent business requirements.
