Key Responsibilities

Executive & Business Support (80%)

  • Manage complex calendars, meetings and appointments for the Director and provide administrative support to the Assistant General Manager (AGM).
  • Coordinate domestic and international business travel, including flights, accommodation, visas and detailed itineraries.
  • Prepare meeting materials, presentations, reports, correspondence and meeting minutes.
  • Act as the key liaison between internal departments, external stakeholders and business partners.
  • Monitor action items, follow up on outstanding matters and ensure deadlines are met.
  • Coordinate meetings, events and business-related engagements.
  • Manage confidential documents, records and sensitive business information.
  • Assist with expense management, procurement and general office administration.
  • Work closely with the AGM on operational matters and provide administrative support across business functions.
  • During the AGM's travel or absence, coordinate ongoing operational matters, monitor priorities and ensure smooth day-to-day business operations.

Personal Support (20%)

  • Manage selected personal appointments and schedules for the principal.
  • Coordinate personal travel arrangements and lifestyle-related bookings.
  • Assist with family logistics, reservations, gifting and special occasions when required.
  • Liaise with external vendors and service providers for personal matters.
  • Handle confidential personal information with professionalism and discretion.

Requirements

  • Minimum 5 years' experience as an Executive Assistant, Personal Assistant or Executive Office Coordinator supporting senior management.
  • Experience working in a family office, private company, or HNW/UHNW environment, or supporting C-suite executives, is advantageous.
  • Exceptional organisational, planning and multitasking abilities.
  • Strong communication and stakeholder management skills.
  • High level of professionalism, discretion and integrity.
  • Able to work independently, anticipate needs and make sound decisions.
  • Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint).
  • Flexible to support occasional after-hours or urgent business requirements.
