What You'll Do
- Coordinate waste shipments and schedule transportation with multiple waste vendors.
- Prepare waste manifests, shipping documentation, labels, and regulatory paperwork.
- Order trailers, waste containers, labels, and field supplies.
- Track waste containers, trailers, equipment, and inventory.
- Process invoices and assist with monthly accruals.
- Create and manage purchase orders within SAP.
- Coordinate waste compliance inspections, maintain inspection records, and ensure required documentation is completed and filed.
- Track site-issued radios and other company equipment.
- Coordinate training reminders and maintain training records for environmental personnel.
- Assist with obtaining vendor quotes and supporting internal purchasing activities.
- Participate in waste inventory meetings, turnaround planning, and operational team meetings.
- Coordinate with field personnel, vendors, and customer representatives to support daily operations.
- Prepare for and assist during regulatory and agency inspections.
- Travel throughout the plant as needed to deliver manifests, documentation, and operational supplies.
- Maintain strict compliance with all customer and GFL safety, environmental, and security policies.
- Perform additional administrative and operational support duties as assigned.
What We're Looking For
- Previous experience in an industrial, refinery, chemical plant, manufacturing, or similar environment preferred.
- Administrative experience supporting operations, logistics, transportation, environmental services, or maintenance preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including Word and Excel.
- Experience using SAP or other purchasing/ERP systems preferred.
- Ability to prioritize multiple tasks while meeting deadlines.
- Strong follow-up and problem-solving skills.
- Comfortable communicating with operations personnel using a two-way radio.
- Professional demeanor with the ability to work effectively alongside customer leadership and operations teams.
- Waste management or transportation experience is preferred but not required.
- Self-motivated with a strong work ethic and ability to work independently.
- Willingness to support occasional evenings, weekends, overtime, and plant turnaround events.
Working Conditions
- Full-time position based in an industrial customer facility.
- Primarily office-based with routine travel throughout the plant to support operations.
- Standard schedule of 40 hours per week with overtime available based on business needs.
- Additional overtime and extended schedules may be required during plant turnaround events.
- Training provided on customer systems, SAP processes, and site-specific procedures.
- RCRA and DOT training provided.
- Two-way radio provided for daily communication.
