Description
Computercraft is seeking an Administrative Program Support Specialist to support core functions for the User Services and Collection Division (USCD) of the National Library of Medicine (NLM), which is part of the National Institutes of Health (NIH) in Bethesda, Maryland.
In this hands-on, service-oriented role you will support staff and programs in the USCD Office of the Director. Working as a member of a multidisciplinary team, you will assist in the coordination, tracking, and reporting of USCD staff and contractor equipment, acquisition receiving, and other administrative tracking. This is full-time work to be done onsite at NLM in Bethesda, Maryland.
Job Responsibilities
- Collect, manage, and report data related to property management, acquisitions processing, IT requests, and other administrative tasks handled by the USCD Office of the Director (OD)
- Support USCD staff with official travel coordination, acquisition processing, timekeeping, and other administrative functions as assigned by Administrative Officers
- Respond to NLM staff and contractors' requests in a timely manner, which includes acknowledging requests, providing status updates, and providing a receipt of completion
- Collaborating with other NLM entities to deliver requests, follow up on status, and resolve any issues, including bringing issues to NLM staff who can help
- Maintaining tracking systems, ensuring they are up to date and accurate. This includes providing insights and suggestions for improvement to processes and tracking systems
- Supporting administrative officers by retrieving and compiling data from administrative systems, preparing forms, tables, and presentations, and providing other administrative support as needed
- Other duties as assigned
Required Skills/Experience
- Five (5) years of experience in general administrative support functions, including processing calls and email
- Strong organization and attention to detail
- Ability to maintain correspondence, documents, and files
- Ability to provide word processing support, including drafting and finalizing documents and other materials, and other office duties
- Ability to enter and extract data from Excel and other database environments
- Experience working in multi-disciplinary teams
- Experience collaborating and troubleshooting across a large and complex organization
- Ability to obtain Public Trust clearance
Desired Skills/Experience
- Experience supporting a Federal agency
Compensation and Benefits
The anticipated salary range for this position is $45,000 - $65,000 annually. The starting salary within this range will be based on relevant experience, qualifications, and skills.
