Under the direction of the Regional Director, the Quality, Safety, & Compliance Coordinator assists with ensuring compliance with Easterseals and HS/PFA/EHS/PI policies and procedures, service plans, and applicable federal, state, and city regulations. In addition, the Quality, Safety, & Compliance Coordinator provides content area expertise, support, oversight, and training in the areas of safe environments, human resource requirements, and program design and management.
This position is located at Easterseals Chicago Location at 1939 W 13th Street, Chicago, IL 60608.
MAJOR FUNCTIONS/ACCOUNTABILITIES
Leadership and Development
- Support site teams to problem solve and work collaboratively to address site needs and challenges.
- Provide training and technical assistance as needed.
- Review data analysis with site teams, provide recommendations, and ensure data guides planning.
- Use data to coach partner site directors.
- Implement reflective and strength-based practices.
Monitoring and Compliance
- Track funder-required documents accurately and ongoingly.
- Review transcripts and requirements to ensure center staff meet Head Start qualifications.
- Review staff waiver requests and requirements.
- Support site directors in maintaining site inventory lists.
- Complete monthly monitoring and follow-up with site directors (e.g., health/safety requirements, emergency preparedness plans, facilities concerns).
- Implement a system for storing and archiving site staff files.
- Ensure active supervision and safety of children so that no child is ever left alone or unsupervised.
- Complete and follow up on facility and program audits.
- Monitor and follow up on continuing education and professional development plans for partner site staff.
- Audit partner site staff HR files and required documents to ensure compliance with Head Start Program Performance Standards, Head Start Act, and DCFS.
- Collaborate with the Regional Director and Site Director to identify and address non-compliance areas, implement corrective actions, and foster a culture of continuous improvement.
- Review Child Plus and the PIR to ensure information is accurate and complete, including monthly tracking and reporting.
- Participate in the monthly analysis of monitoring data with the leadership team, provide recommendations, and ensure data guides planning.
Planning and Program Services
- Participate in the self-assessment process, community needs assessment, and strategic planning.
- Participate in program planning and implementation of all service areas as part of an integrated leadership team.
Communication and Planning
- Set clear expectations, review progress, and provide feedback and guidance to ensure high quality within the childcare partner center.
- Foster communication and collaboration among the regional team, partner site staff, and support staff to address concerns and find resolutions.
- Attend and/or facilitate site team meetings, round tables, and other pertinent site meetings.
- Foster collaboration through routine partner site visits and observations.
- Promote a collaborative environment that encourages sharing best practices and innovative ideas.
- Prepare and present reports on coaching activities, program performance, and outcomes for leadership and stakeholders.
- Engage with families and community partners to support program goals and enhance service delivery.
- Participate in regularly scheduled content area and other meetings.
Requirements
Education/Certification:
- Bachelor’s Degree.
Experience Requirements:
- 3 years of experience in Head Start/Early Head Start.
- 2-3 years of administrative, supervisory, or coaching experience.
Required Knowledge:
- Microsoft Office Suite or related software including Microsoft Teams.
- Head Start Program Performance Standards.
- DCFS Licensing Standards.
- ISBE/PFA/PI Standards.
Vehicle/Transportation Requirements:
- Valid driver’s license
