Description
This is a full-time office position in a fast-paced environment requiring the ability to communicate effectively, multi-task, and work well as a member of a team. Primary administrative assistant for, and reports directly to, the Animal Services Director. Primary customer support resource for citizens. Responds to public inquiries and requests for services. Prioritizes requests for service and when needed dispatches animal service officers for non-emergency calls for service. Provides a variety of office support, records maintenance, and customer service to the Animal Services Department. Manages IT and telecom assets for the department and administrates the access, storage, security, and accuracy of information and databases. Provides information to the public regarding local animal ordinances and relevant rules and regulations codified and state statues. Provides logistic and administrative support to the Volunteer Coordinator as needed.
- Receives non-emergency calls for service from the public regarding animal control matters.
- Handles all correspondence received from public emails for the department.
- Refers emergency calls for service to Central Communications / 911
- Monitors various telecommunications systems to monitor the status and disposition of officers working in the field.
- Monitors installed security and surveillance systems for the shelter facility.
- Receives requests for information from the officers, research additional information, as requested, and provides such information to the officer via radio.
- Greets and confers with customers/general public to answer questions, solve problems and to issue animal licenses as appropriate, collecting applicable fees and prepare receipts.
- Make administrative decisions based on knowledge of department programs, procedure, laws and regulations.
- Provides a variety of factual information regarding rules, regulations, and procedures, as well as services provided by the department.
- Assists in maintaining all records in an electronic records database.
- Scans and processes records and evidence for the Animal Services Department such as: animal bites, photographs, witness statements, etc.
- Processes all requests for records under the supervision of the Director. Reviews and sends citations to the appropriate court for processing/review.
- Assists in maintaining a computerized record system for a variety of operational information such as officer call outcome, dead or injured animals, rabies testing and other related information.
- Assists in compiling information and a variety of periodic and special reports.
- Contributes to the efficiency and effectiveness of the department by offering suggestions and directing or participating as an active member of a work team.
- Performs a variety of general clerical work in support of office functions such as filing, typing, and maintaining a variety of office supplies.
- Uses standard office equipment, including a computer, multifunction printer/scanner, and IP multiline phone systems in the course of the work.
- Additional tasks as directed by the Animal Services Director.
