Description

[What the role is]

This is a 2-year contract for Stakeholder Experience Partner position in the School of Humanities & Interdisciplinary Studies.

You will play a pivotal role in supporting the establishment, operations, and growth of ENCORE (NP's flagship intergenerational hub). As part of a team supporting the centre, the role goes beyond administrative coordination to help develop operational systems, streamline workflows, coordinate diverse stakeholder engagements, and enable the successful delivery of strategic initiatives and programmes. The incumbent will need to navigate evolving requirements, exercise initiative, and work across multiple functions to build efficient and sustainable centre operations.

[What you will be working on]

Your responsibilities will include, but are not limited to, the following:

  • Coordinate and manage end-to-end administrative and operational processes across ENCORE, ensuring smooth delivery of programmes, projects, events, and centre initiatives.

  • Support the development and implementation of operating procedures, workflows, and documentation to establish effective and scalable centre operations.

  • Manage multiple stakeholder touchpoints, including students, seniors, industry partners, community organisations, vendors, and internal departments.

  • Track programme outcomes, maintain data repositories, prepare management reports, and support analysis to inform decision-making and reporting requirements.

  • Coordinate procurement, budgeting administration, resource planning, and logistics to support centre activities and projects.

  • Assist in developing communications materials, presentations, publicity content, and stakeholder engagement initiatives across various platforms.

  • Identify opportunities for process improvement, digitalisation, and automation to enhance operational effectiveness, user experience, and service delivery.

  • Provide secretariat support for meetings, working committees, and project teams, including scheduling, documentation, and follow-up on action items.

  • Support the setup and operationalisation of new initiatives, programmes, partnerships, and events in a dynamic and evolving environment.

[What we are looking for]

  • At least 5 years of relevant experience in administration, operations, project coordination, or programme management.

  • Demonstrated ability to manage multiple priorities and stakeholders in a fast-paced and evolving environment.

  • Strong organisational, coordination, and problem-solving skills, with the ability to work independently and exercise initiative.

  • Proficient in Microsoft Office applications and digital collaboration tools.

  • Experience in process improvement, workflow implementation, or operations optimisation will be an advantage.

  • Adaptable, resourceful, and comfortable working in an environment where processes and structures are being established.

  • Passion for supporting initiatives involving PMETs aged 50 and above, students, community partners, and industry stakeholders.
