Job Description:
About the Role
We are looking for a highly organized and detail-oriented Recertification Specialist based in the Philippines to provide remote administrative and compliance support for U.S.-based affordable housing and property management operations.
The Recertification Specialist will be responsible for supporting the processing and review of applications, lease renewals, recertifications, interim certifications, and other housing compliance documentation. The role requires strong attention to detail, the ability to work with documentation and regulatory requirements, and effective coordination with U.S.-based property management and compliance teams.
This is an excellent opportunity for candidates with experience in property management, real estate administration, housing compliance, lease administration, or similar back-office functions who are comfortable working independently in a remote environment.
Key Responsibilities
- Prepare, review, and process applications, lease renewals, recertifications, interim certifications, and related documentation accurately and within required timelines.
- Provide administrative support for affordable housing compliance requirements, including HUD Section 8 and Low-Income Housing Tax Credit (LIHTC) programs.
- Review resident and applicant documentation for completeness and accuracy before submission or processing.
- Perform accurate data entry and maintain resident, applicant, and compliance information in property management systems.
- Assist in maintaining complete and organized electronic records for housing compliance and property management activities.
- Prepare recurring and ad hoc reports as requested by property management and compliance teams.
- Track pending documentation, deadlines, renewals, and recertification requirements and follow up on outstanding items.
- Communicate professionally with internal teams regarding missing documentation, discrepancies, and status updates.
- Coordinate with U.S.-based property management and compliance teams to resolve documentation and processing issues.
- Support the preparation and administration of lease-related and compliance documentation.
- Assist with basic accounting-related administrative activities, including reviewing or recording receivables and other property-related information when required.
- Maintain confidentiality when handling resident, applicant, financial, and property information.
- Follow established company procedures, compliance standards, and client-specific processes.
- Provide additional remote administrative support to the property management team as needed.
Required Qualifications
At least 2 years of relevant professional experience in one or more of the following:
- Property Management
- Real Estate Administration
- Lease Administration
- Housing or Compliance Administration
- Back-office operations supporting U.S. clients
- Strong administrative and data-entry skills, with excellent attention to detail.
- Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
- Strong written and verbal English communication skills.
- Excellent organizational and time-management skills with the ability to manage multiple deadlines.
- Ability to work independently with minimal supervision in a remote environment.
- Strong problem-solving skills and sound judgment when handling day-to-day administrative matters.
- Ability to understand and follow detailed procedures, regulatory requirements, and documentation standards.
- Willingness and ability to work hours aligned with U.S. business operations.
Preferred Qualifications
- Previous experience supporting U.S. property management or affordable housing operations.
- Knowledge or experience with HUD Section 8, LIHTC/Tax Credit, or other U.S. affordable housing programs.
- Experience processing recertifications, lease renewals, applications, or resident documentation.
- Experience using property management software; Yardi Voyager experience is highly preferred.
- Familiarity with U.S. housing compliance documentation and terminology.
- Experience working in a BPO, shared services, outsourcing, or remote support environment.
- Affordable housing compliance certifications such as COS or TCS are an advantage but are not required.
