What this job involves:
- Assist in preparing the appropriate daily / monthly / quarterly / annual reporting and records for the clients
- Ensure quality and timely service delivery to the Customer, overall quality assurance and Customer’s high level of satisfaction
- Develop positive relationships with both users and vendors
- Manage vendor relationships, vendor services and vendor contracts, i.e. vendor management and supervision, including contractor site briefing
- Assist with financial and administrative requirements
- Assist in the preparation of purchase orders and process invoices
- Assist with facilities management reporting
- Assist with drawing modification for any changes and redevelopment of the building layouts
- Coordinate office facilities maintenance, and fixtures repair and maintenance
- Respond to arrange vendors for ad hoc maintenance or emergency repairing
- Provide immediate response and support to Comms Rooms and other floors E&M services related to the operations
- Vendor management and supervision, including contractor site briefings
- Inspect facilities on a daily basis, and conduct major facility audits on a quarterly basis, ensuring office area is tidy and taking note of maintenance issues or problem areas
- Assist in developing and/or maintaining safety programs for Morgan Stanley’s needs (storm, evacuation, first aid, etc.)
- Act with minimal supervision to develop processes and methods for achieving objectives
- Liaise with building manager regarding day-to-day tenancy issues, including cleaning services
- Support other CS team members in general day-to-day functions
- To be on-call after office hours for emergency needs as required
- Carry out any other duties as assigned by client
- Coordinate discussions with each direct report regarding goal setting, performance reviews, and career development planning and incentive/ salary administration
Required Skills and Experience:
- Certificate or above in Building Service Engineer / Electrical / Mechanical Engineer with an Electrical License A0 (minimum requirement)
- At least 5 years of working experience in Facilities / Property E&M Management
- At least 1 year relevant experience in data centre / critical E&M system is preferred
- At least 1 year relevant experience as supervisor level managing a team is preferred
- Client relationship management skills
- Ability to solve a problem quickly and effectively
- Excellent planning and organizational skills to priorities work and meet tight deadline
- Sound computer skills in Microsoft Office, Excel & Power point
- Strong customer service focus
- Good written and verbal communication skills in English
- Effective interpersonal skills
- Analytical and attention to detail
- Self-confident and motivated
- Flexibility and adaptability
- Ability to support others / the team in achieving goals
- Ability to think on your feet and effectively deal with stress in a supportive environment is also considered necessary
