Warehouse & Service Support Coordinator

01 Warehouse & Inventory: Receiving, storage, stock accuracy

■ Goods receipt

• Receive all inbound deliveries—capital equipment, spare parts, and consumables—checking quantities and condition against purchase orders and packing lists.

• Inspect and report discrepancies (short shipments, damage, incorrect items) promptly to purchasing and the relevant supplier or freight forwarder.

• Book received goods into the inventory/ERP system accurately and on the same day, recording lot, serial, or batch details where applicable.

• Unpack, label, and put away stock to the correct bin or storage location, keeping heavy and oversized equipment safely handled and stored.

■ Stock control & housekeeping

• Maintain accurate on-hand stock levels through disciplined transactions and regular cycle counts and stocktakes.

• Keep the warehouse clean, orderly, and compliant—clear aisles, correct storage, and safe racking loads.

• Flag slow-moving, obsolete, or minimum-level stock to support aftermarket and purchasing decisions.

02 Order Processing & Dispatch: Pick, pack, document, ship

• Pick and process spare parts and equipment orders against sales orders, verifying items, quantities, and part numbers before packing.

• Pack goods to a professional standard for domestic and trans-Tasman freight—protecting equipment in transit and meeting export-packing requirements for New Zealand shipments.

• Prepare dispatch documentation: delivery dockets, consignment notes, packing lists, and any dangerous goods or export paperwork.

• Book freight with carriers, compare service levels and costs, and select the right method for urgency and value.

• Provide tracking details and expected delivery dates back to sales, service, and customers, and follow up on delayed or lost consignments.

• Coordinate returns, warranty items, and credits back into stock, and manage outbound goods sent for repair or calibration.

03 Deliveries & Local Logistics Site drops, collections, transport

• Carry out local deliveries and collections of parts, tools, and equipment to customer sites and suppliers as required.

• Load and secure vehicles correctly, observing load limits, restraint requirements, and safe handling.

• Coordinate larger transport and craneage for capital equipment movements, liaising with third-party carriers.

• Deliver tools and staged parts to technicians on site when a job calls for it, keeping the service team supplied.

04 Service Support & Tool Management Job prep, planning, coordinated tool store

■ Preparing & planning jobs

• Work closely with the service department to prepare and plan for upcoming field and workshop jobs—reading the job scope and getting ahead of what each one needs.

• Stage tools, spare parts, consumables, and equipment for each job in advance, kitted and checked so technicians can mobilize without delay.

• Confirm parts availability early and raise orders for anything missing, escalating long-lead items before they hold up a job.

• Prepare and issue job packs—drawings, service reports, calibration records, and site paperwork—alongside the physical kit.

■ Tool store & equipment control

• Own and maintain the service tools in one coordinated, well-organized area—every tool with a home, clearly labelled, and easy to find.

• Run a sign-out/return system so tools are tracked to technicians and jobs, and account for what is out, in, and overdue.

• Inspect tools on return; clean, service, and store them, and remove damaged items from use until repaired or replaced.

• Maintain the calibration and test-and-tag schedule for tools and test equipment, keeping records current and compliant.

• Manage consumables and shop supplies, reordering to set minimum levels, and recommend new or replacement tooling.
