Description

Performs complete executive administrative services in support of senior leadership in a medium to large-size facility. This position handles highly confidential information and files. This position typically reports to an executive leadership position responsible for a major function such as finance, manufacturing, commercial, and/or general management of a business unit or division. Works through differing situations requiring the identification of issues within administrative duties, the application of judgement, and the selection of solutions with known choices.

The role:

As an Plant Admin Coordinator you will help drive our goals by:

  • Handle administrative functions, including front office management support.
  • Maintain and update documentation related to administrative vendors, ensuring accuracy and timeliness.
  • Assist in the preparation and management of the administrative budget, including providing necessary data, tracking expenditures, and supporting budget-related reporting and forecasting.
  • Manage relationships with local vendors for services such as catering, stationery, cleaning (general, industrial, carpet), gardening, waste management, laundry, bread, printers and photocopiers, courier services, local hotels, taxis/transportation, travel arrangements, pantry supplies, coffee machines, hygiene and sanitary products, mobile phones,
  • and vending machines.
  • Oversee catering management, including menu choices, weekly updates on required quantities, and handling ad-hoc catering requests for training sessions and events.
  • Draft, manage, and monitor service agreements with vendors and service providers.
  • Issue locker keys, label lockers in the changing room, and brief new joiners on locker room policies and etiquette.
  • Manage uniform stock, including ordering and distribution.
  • Coordinate with the plant visitor’s host on food and beverage needs for the visitors.
  • Verify passports for visitors and contractors upon each entry to the plant.
  • Ensure cleanliness and neatness in plant surroundings, cafeteria, and other public areas, working with Engineering
  • Maintenance to oversee office and shop floor cleaning activities.

Key skills that will help you succeed in this role:

  • Diploma/Certificate in any field
  • Experience in handling administration duties including preparation of documents/letters
  • Experience in handling administration vendors and understanding and knowledge of Service Agreement
  • Basic IT Knowledge
  • Excellent in MS Office (Word, Excel, Microsoft forms & PowerPoint)
