This opportunity is with our Good Shepherd Centres - Development Office.
How You Will Make an Impact
Reporting to the Office Manager, the Part-Time Volunteer Administrative Assistant provides administrative support to the Volunteer Coordinator and Development Office while helping to deliver a welcoming, professional, and supportive experience for volunteers and community members.
The successful candidate will support volunteer recruitment, onboarding, records management, communication, recognition, and special events. Through respectful and effective service, you will help foster meaningful relationships with the volunteers who demonstrate their Faith in People through their time and commitment to Good Shepherd.
- Work with the Volunteer Coordinator to coordinate tours for groups and individuals.
- Support the volunteer recruitment and onboarding process, including obtaining references, vulnerable sector checks, Health and Safety documentation, name tags, and other required documents.
- Maintain accurate and up-to-date records in the Volunteer Management System (VMS) and Raiser's Edge.
- Enter volunteer hours from paper and electronic timesheets into the VMS and Raiser's Edge.
- Respond to volunteer emails and phone inquiries in a professional and timely manner.
- Assist the Volunteer Coordinator with special event recruitment and other assigned duties.
- Support the planning and implementation of formal and informal volunteer recognition activities.
- Assist with volunteer events, including the Wonderland and Volunteer Appreciation Event.
- Perform other administrative and related duties as assigned.
What You'll Bring to Our Team
- High school diploma with one to two years of administrative experience, or a post-secondary diploma in Office Administration.
- Commitment to Good Shepherd's Values of Responsibility, Availability, Adaptability, Hospitality, Quality, and Dignity.
- Experience providing administrative support and maintaining accurate records.
- Strong computer skills and the ability to manage databases and electronic information.
- Current CPR/First Aid certification and WHMIS training.
- Excellent verbal and written communication, interpersonal, and organizational skills.
- Strong analytical, writing, and editing skills.
- Ability to adapt and prioritize in a fast-paced and changing environment.
- Creativity and flexibility in achieving desired outcomes.
- A respectful, compassionate, and hospitable approach when working with clients, volunteers, staff, and other stakeholders.
- Ability to work both independently and collaboratively as part of a team.
