Job Summary

Are you highly organized, service-minded, and energized by helping patients have a smooth and positive experience? Join our Sports Medicine team as a Clinic/Practice Assistant, where you’ll play an important role in supporting daily practice operations, coordinating patient visits, and helping care teams deliver efficient, high-quality service.
About the Role
In this per diem role, you will help fill staffing gaps caused by call-outs, vacations, leaves, and vacancies. You will perform a combination of administrative and clerical responsibilities that help keep the practice running smoothly, including patient scheduling, check-in and check-out processes, phone coverage, documentation, and other front-office activities. This position is ideal for someone who enjoys working in a fast-paced healthcare environment, communicating with patients and team members, and keeping details organized.
What You’ll Do
• Schedule patient appointments and maintain accurate appointment records.
• Greet and assist patients throughout their visit experience.
• Answer phones, respond to routine inquiries, take messages, and help coordinate appointments.
• Support check-in, check-out, and patient flow processes.
• File, scan, print, and organize patient-related materials and appointment schedules.
• Process billing forms and scan documents into the patient medical record.
• Request patient medical records and laboratory test results as needed.
• Open, distribute, and manage incoming mail or faxes.
• Prepare forms, records, schedules, memos, and other documents as directed.
• Support prior authorizations, referrals, registration verification, and related administrative tasks.
• Monitor waiting room activity and help respond to patient information needs.
• Accept co-payments when required.


 

Qualifications

What We’re Looking For

  • High school diploma or equivalent required.
  • 0–1 year of healthcare office experience required.
  • Basic proficiency with Microsoft Office applications.
  • Understanding of office operations and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to manage phone calls, answer routine questions, and resolve routine issues appropriately.
  • Strong written and verbal communication skills.
  • Ability to read and understand work-related documents and communicate clearly through email, memos, letters, and phone messages.
  • Strong organization, time management, and multitasking skills.
  • Ability to follow established protocols and work effectively within practice systems.
