Reports To: Vice President, Experience and Engagement
Position Type: Part-Time / Temporary / Up to 30 hours a week / Sept – November 2026
Location: Primary hub at Independence Visitor Center (599 Market Street, Philadelphia, PA), with local deliveries to satellite locations across Philadelphia.
Position Overview
The Inventory & Delivery Coordinator position will fill an essential role in keeping the Philadelphia Visitor Center’s gift shops, satellite kiosks, and pop-up locations well-stocked, organized, and with the supplies to operate seamlessly for the 2026 Fall/Winter Season. Responsibilities include receiving shipments, managing stockroom organization, performing inventory audits, processing incoming inventory, and executing timely deliveries of merchandise, collateral, and event supplies across PHL Visitor Center footprint locations (including City Hall, Parkway Visitor Center, LOVE Park, Reading Terminal Market, and airport outposts).
Key Responsibilities
1. Inventory Management & Stockroom Operations
  • Receiving & Unloading: Unload, inspect, and count incoming merchandise and operational shipments against purchase orders and packing slips.
  • Tagging & Ticketing: Unbox, SKU-tag, price-label, and prepare items for sales floor distribution.
  • Stockroom Maintenance: Maintain a clean, safe, and highly organized stockroom and offsite storage space using established warehousing standards.
  • Auditing & Cycle Counts: Perform regular cycle counts and physical inventory reconciliation to minimize shrinkage and ensure POS inventory accuracy.
  • Defect & Damaged Goods Tracking: Log damaged, defective, or misshipped items and coordinate returns or vendor credits with management.
2. Logistics, Driving & Satellite Delivery
  • Inter-Facility Transport: Load, transport, and unload retail stock, visitor brochures, promotional materials, site supplies and furnishings, and event supplies between warehouse locations and visitor center locations.
  • Vehicle Operation: Safely move inventory on foot (wagon) or in rental vehicles (van/box truck) through urban traffic, adhering to all Pennsylvania motor vehicle laws and parking regulations.
  • Route Scheduling: Plan efficient daily and weekly delivery schedules based on location reorder needs, stock requests, and special event requirements.
  • Vehicle Maintenance Log: Perform pre-shift vehicle checks, track mileage logs, maintain fuel levels, and report maintenance or repair needs promptly.
3. Retail & Operations Support
  • Sales Floor Merchandising: Assist store staff with restocking floor displays, organizing fixtures, and setting up seasonal merchandise campaigns.
  • Event & Pop-Up Setup: Support logistics for seasonal pop-up retail setups, mobile visitor carts, and citywide partner activations.
  • Vendor & Dock Coordination: Direct delivery drivers, coordinate loading dock access, and process bill of lading (BOL) documentation.
Qualifications & Requirements
  • Education & Experience: High school diploma or equivalent required. 1–2 years of experience in retail inventory, stockroom operations, warehouse logistics, or delivery driving preferred.
  • Valid Driver’s License: Valid Pennsylvania driver’s license with a clean driving record required (MVR background check required upon hire).
  • Physical Capability: Ability to lift, push, pull, and carry up to 50 lbs regularly, and stand, bend, or stretch for extended periods.
  • Technical Skills: Basic computer proficiency; experience with Point of Sale (POS) inventory software, barcode scanners, or digital inventory tracking system preferred.
  • Organization & Detail: Strong organizational skills with keen attention to SKU accuracy and item counts.
  • Communication: Friendly, professional demeanor when interacting with staff, venue partners, and delivery vendors across Philadelphia.
  • Schedule Flexibility: Ability to work flexible hours, including occasional early mornings, weekends, or holidays during peak tourism seasons.
  • Competitive hourly rate, depending on experience.
  • Position is temporary, 6-8 weeks from the hiring date.
