Position Title: Sr. Specialist, ASPAC Recruitment & Onboarding

Position Summary

The Sr. Specialist, ASPAC Recruitment & Onboarding is responsible for the execution of assigned task to support employees, managers, and other human resource teams in the Regional Service Center. This person performs applicable Administration activities for the region and countries which include but are not limited to new hires pre-offer/offer, post-offer, on boarding; internal job change; data quality audits and reviews; and research policy inquiries as required. This person demonstrates customer service orientation and knowledge of Human Resource processes and related systems to perform responsibilities, operating as a liaison with employees, the regional HR service center teams, and external vendors as applicable.

Major Duties & Responsibilities

Case Management and daily operations 50%

  • Receive, assign, update, classify, process cases in case management application for one or more processes
  • Identify case challenges and opportunities, and escalate to the supervisor/manager if needed
  • Focus on processing and resolution more complex cases
  • Update the knowledge management system with new available documents or guidelines
  • Ensure integrity, completeness, timeliness, and accuracy of transactions & documentation
  • Proactively monitor the cases to be able to determine if any action is needed (time, quality)
  • Responsibility for delivering upon agreed SLAs
  • Ensuring policy and legal compliance
  • Assist and encourage users/customers to make effective use of self-service options, systems, products, service, etc. to drive rapid resolution and empower customers; educate and inform customers of the full range of Global Services HR available to them.

Continuous improvement 20%

  • Identify areas for improvement in daily operational processes
  • Provide support to implement improvement initiatives
  • Contribute positively to a knowledge sharing environment by documenting and sharing all relevant working experiences with issues resolution for knowledge database future reference
  • Focus on increasing satisfaction surveys results – employees and customer
  • Participate in training to improve performance, process acumen and gain additional knowledge required
  • Perform special projects and related duties as assigned

Work distribution and coordination 30%

  • Lead and participate in daily huddles and follow the instruction of the direct report regarding priorities and assignments
  • Distribute the work to the other team members
  • Check the quality of the work of the other team members
  • Check timelines to be met
  • Provide feedback to the supervisor regarding performance of team members
  • Coordinate activities with the other GS groups leading to closing the cases

Required Qualifications

  • Required Minim um Education: Bachelor’s Degree or above (graduate of any Human Resources -related courses)
  • Required Years of Related Experience: 5-8 years of related experience
  • Required Knowledge, Skills and Abilities:
  • Ability to perform administrative activities
  • Excellent customer service skills
  • Strong organization skills, attention to detail and follow-through to resolve any outstanding issues
  • Strong written and verbal communication skills; manages internal communications and external/client communications with detailed support and assistance
  • Discretion, professionalism, confidentiality, and judgment
  • Demonstrates customer orientation and customer service skills
  • Excellent telephone manner with clear, concise, and professional communication skills
  • Ability to accurately collect information to understand and assess the clients’ needs and situation
  • Strong attention to detail
  • Will be trusted to secure and maintain confidential information
  • Ability to prioritize workload and provide timely follow-up and resolution
  • Computer literate with knowledge of common office productivity software and the ability to learn customer service soft are applications (e.g., MS Office, email, f ax, Internet Explorer)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoints)
  • Ability to work effectively in a fast-paced, self-directed team-based environment
  • Enthusiastic team player with a strong drive to create a positive work environment.
  • Language requirement: English

Preferred Qualifications

  • Preferred to have Human Resources Certification
  • Preferred Knowledge, Skills and Abilities:
  • HR Service Center preferred
  • Understanding of HR Functional domains (Benefits and Compensation Administration, Leaves and Absence Management, Employee Data Management, Exit Management, Payroll, Recruitment and Onboarding Administration)
